PURPOSE OF THE POSITION In a rapidly growing business, the Services & Payroll Coordinator will be a key member of the service delivery team. This position is a diverse client-facing role that encompasses client onboarding, system setup and administration, coordinating the payroll function and completing payroll tasks and working closely with our Managing Directors to deliver within the required timeframes.

SUCCESS INDICATORS (Measures of Results) Meeting all weekly, monthly & quarterly deadlines for payroll and Invoicing Support of clients and employees, by resolving all issues - zero complaints Compliance with payroll policies and legislation KEY RESPONSIBILITIES Client Onboarding & Employee management Facilitate the smooth onboarding of new clients, ensuring a positive and efficient experience. Collaborate with internal teams to gather necessary information for client setup. Execute the set-up of client entities, adhering to regulatory requirements. Ensure accuracy and completeness of entity information. System Implementation & Management Assist in the implementation of new systems, ensuring a smooth transition. Configure systems according to business needs and industry best practices. Administer and maintain internal systems to ensure optimal functionality. Troubleshoot system issues and coordinate with IT and/or software support when necessary. Payroll & Invoicing Function Ensuring all time sheets, payroll changes, expenses reimbursement, records and other related material are received prior to payroll run close off. Ensure the completion of all key fortnightly payroll functions and procedures. Provide the Payroll/Services Manager with regular updates on relevant payroll issues. Liaise with Payroll Software Client Support on system related problems. Ensure that key payroll functions comply with relevant statutory and legislative requirements including timely processing of PAYG, Payroll Tax and Superannuation payments. Submit/exports various reports and information as required. Manage invoicing processing, ensuring accuracy and timely submission Investigate and correct any payroll and invoicing discrepancies Award Interpretation Interpret and apply industry related awards and applicable industrial instruments. Maintain up to date information on all awards and agreements that are applied within the working entities Provide advice on pay and conditions to employees as per industrial entitlements. Administration Services Ensure that the on charged administrative functions are performed efficiently, to a high quality and standard and support all sections of the client's business as required. Provide assistance and support with key human resources processes and activities. Client Support & Service Delivery Maintain a high standard of service delivery to meet client expectations. Address client inquiries and concerns promptly, providing excellent customer service. Schedule and conduct client meetings to understand their evolving needs with support from the Services Manager Manage client portfolios, ensuring satisfaction and identifying opportunities for growth. Business Improvement & Project Coordination  Document and create policies to aid business growth and business knowledge retention. Coordinate projects related to client services and operational improvements. Collaborate with cross-functional teams to meet project objectives. QUALIFICATIONS, EXPERIENCE, COMPETENCIES Experience in performing payroll and/or administration functions. Ability to work as part of a team. Ability to self-manage and meet deadlines. Ability to maintain a high level of confidentiality. Excellent computing/data entry skills. Good written and oral communication skills. Attention to detail and capacity to problem solve. Understanding and good knowledge of Australian payroll legislation and multiple Australian pay award rulings High accuracy with details Other special requirements Advanced excel and word experience. Relevant qualifications in Payroll/Human Resources Management.
