Are you excited about making a name for yourself as a Purchasing Officer for a new luxury hotel in Baguio City? We are a property development company currently building our first luxury hotel. We have entered the phase of forming a management team to help set up our operations. As we prepare to open our doors, we are seeking a talented and experienced Purchasing Officer to join our dynamic team.
As our Purchasing Officer, you will be responsible for developing and managing the procurement process to ensure that purchases are both cost-effective and of the highest quality. You will oversee inventory levels, negotiate with vendors and suppliers to replenish stock, and maintain strong relationships with them. Your role will involve tracking stock levels, assessing the need for additional goods and services, and placing orders as necessary. Your expertise and insight, aligned with the Hotel's vision and mission, will drive sustainable growth and enhance the Hotel's reputation as a leader in luxury hospitality.
Essential Duties:
• Locate suppliers with goods and services that meet the hotel requirements
• Purchase items that meet or exceed quality expectations
• Create a delivery flow that reduces raw material inventory but ensures enough goods
• Work within a budget
• Identify items and equipment for depreciation and determine when to make upgrades
• Track company stock levels, invoices, and delivery information on MS Excel and other platforms
• Perform inventory inspections
• Conduct product research offered by potential suppliers
• Source, canvass, and compare bids of suppliers
• Negotiate terms and prices with suppliers
• Place bulk orders with suppliers and vendors
• Review product quality
• Prepare cost analysis reports on purchases
• Track orders and delivery progress
• Coordinate with warehouse staff for proper storage
• Report any damaged or faulty purchases
• Maintain records of all orders and payments
• Maintain working relationships with vendors and suppliers
• Build a database on vendors and their products
• Report to and work closely with the Finance Manager to provide financial insights and support, ensuring alignment with operational goals and financial strategies
Qualifications:
• Bachelor's degree in Tourism, Hospitality Management, Marketing, Communications, Business Management, or related field
• At least 2 years of experience as Purchasing Officer, Purchasing Assistant or Associate, preferably in hospitality and tourism industry or equivalent field
• Familiar with Microsoft Office, supply chain and accounting principles, planning, inventory management, and Quality Management Systems
• Strong leadership skills with the ability to drive results
• Strong verbal and written communication, interpersonal, and negotiation skills, with a strategic mindset and analytical abilities
• Strong organizational skills to track large quantities of stock, purchase items in bulk, and prepare reports regularly.
