PRIMARY PURPOSE:
The primary responsibility of the Project Coordinator for Client Services and Marketing Department is to ensure project success by meticulously coordinating tasks, solving problems proactively, and communicating effectively. They oversee project lifecycles, ensuring they align with client expectations and maintain high standards of quality and efficiency. From project initiation to completion, they play a pivotal role in optimizing workflows, minimizing risks, and nurturing strong relationships with internal and external stakeholders. Their efforts directly contribute to seamless project execution, client satisfaction, and the overall success of our organization.
JOB DESCRIPTION:
Participate in project design discussions, proposing improvements to optimize project outcomes.
Oversee ongoing projects, coordinating team efforts to ensure smooth workflows and timely delivery.
Collaborate with Project Managers to create comprehensive project plans, including schedules and budgets.
Organize and lead project kick-off meetings, aligning objectives with client expectations.
Track project progress, identifying risks or deviations from the plan, and addressing them promptly.
Serve as a communication hub between internal teams, clients, contractors, and stakeholders, ensuring effective collaboration.
Prepare and review essential project documentation, including proposals, memos, meeting minutes, and emails.
Manage all project-related documentation, ensuring proper filing, organization, and accessibility of materials.
Register technical documents, such as drawings and blueprints, in the company's system, ensuring accuracy and up-to-date information.
Ensure document maintenance, quality control, and proper version management.
Keep relevant personnel informed about updated documents and how to access them.
Maintain project files in line with company standards and best practices for future reference.
Support Project Managers in resource planning and allocation, covering personnel, equipment, and materials.
Coordinate procurement processes, from obtaining quotes to tracking deliveries.
Monitor resource utilization and recommend optimizations to improve efficiency.
Implement quality control procedures to ensure deliverables comply with regulatory standards and project requirements.
Conduct quality inspections and audits, addressing any non-conformities to maintain project integrity.
Identify project risks, developing and executing mitigation strategies in collaboration with the team.
Continuously monitor and manage risk factors, implementing contingency plans to minimize project disruption.
Document lessons learned and apply best practices to improve future project performance.
Build and maintain strong relationships with clients, contractors, and stakeholders through proactive communication.
Respond to client inquiries and concerns promptly, ensuring high levels of client satisfaction.
Act as a liaison between internal teams and external partners, facilitating issue resolution and ensuring smooth project execution.
EDUCATION, TECHNICAL CAPABILITY AND CAREER:
Bachelor's degree in BS Civil Engineering, Business Management, Marketing, Administration or a related field.
Minimum 2 - 5 years of experience in an administrative support role and/or projects-related role.
Proven experience in project coordination or a similar role within the construction or engineering industry.
Proficiency in project management software and Microsoft Office Suite and other relevant software applications.
Strong organizational and multitasking skills, coupled with meticulous attention to detail and accuracy in data entry and record-keeping.
Excellent communication and interpersonal abilities, demonstrated through exceptional verbal and written communication skills.
Ability to thrive in a fast-paced environment, prioritize tasks effectively, and embrace new technologies and tools in procurement.
Knowledge of structural engineering principles and terminology is an advantage.
Capable of working both independently and collaboratively within a team setting.
Proficient in data analysis and adept at problem-solving.
