A Document Controller is a professional who maintains organized and updated documents for a business using document management software, uploading or scanning paper documents, obtaining documents, and ensuring proper and secure storage.
Have a basic understanding of construction projects and documentation system.
Establishing a uniform document/drawing numbering system while adhering to company norms and requirements.
Assist and provide requirements in the Billing & Collection process and procedure.
In charge of project folder setup, folder management, formulating registries, and document and drawing number allocation.
Liaising with and distributing project-related information with the project team and potentially external parties.
Assist the Project Manager as needed.
Prepare template reports on projects as required.
Process and control all project document types on a day-to-day basis in an accurate and timely manner.
Ensure that quality documentation, such as documents, drawings, RFIs, and incoming and outgoing registers, is maintained.
File documents in physical and digital records and ensure appropriate storage.
Adhere to the company's document lifecycle procedures, processes and as required by the Management.
Communicates changes to document control procedures or other relevant information to the project team in consultation with the Project Manager / Admin.
Assists in implementing new and improving Document Management systems and document management processes.
Maintain confidentiality of sensitive documentation.
Ensure in assisting the company in its billing and collections endeavors including but not limited to preparation and realization of clerical works, follow-ups (if and when necessary), among others.
Billing tasks include but not limited to:
Establish a relationship with our clients, monitor and call to facilitate collection.
Provides direct input to Project Manager, Project In-Charge for the status of collection from clients.
Assist with the implementation of a new billing system.
Other relevant tasks which may be assigned by immediate superior from time to time.
