Homebase is seeking a motivated and resourceful Administrative Coordinator to join our team in Davao City. In this part-time role, you will play a crucial role in supporting our operations and ensuring that our administrative processes run smoothly and efficiently.
**Key Responsibilities:**
- **Administrative Support:**
- Organize and maintain the office filing system, ensuring accurate and up-to-date documentation.
- Assist in the preparation and distribution of internal communications, reports, and presentations.
- Facilitate the scheduling of meetings, appointments, and travel arrangements for team members and stakeholders.
- **Communication Facilitation:**
- Serve as the first point of contact for inquiries, both internally and externally, ensuring prompt and clear communication.
- Draft, review, and manage emails and correspondence on behalf of management, demonstrating professionalism and attention to detail.
- **Event Coordination:**
- Assist in planning and organizing company events, meetings, and conferences, ensuring all logistical details are managed effectively.
- Coordinate catering, venue bookings, and necessary materials for events, following budget constraints.
- **Document Management:**
- Maintain and update electronic and physical document management systems, ensuring compliance with data retention policies.
- Prepare and edit documentation, including policy manuals, employee handbooks, and procedural guides.
- **Process Improvement:**
- Identify areas for process improvement and recommend solutions to increase efficiency within administrative functions.
- Collaborate with team members to implement best practices and streamline operations.
- **Expense Management:**
- Track and process travel and spending expenses for team members, ensuring adherence to company guidelines.
- Assist in the preparation of budget reports and forecasts relating to administrative functions.
**Requirements:**
- **Experience:**
- Minimum of 2 years of experience in an administrative or coordination role, preferably in a corporate or fast-paced environment.
- **Education:**
- Bachelor's degree in Business Administration, Management, or a related field is preferred but not mandatory for candidates with significant relevant experience.
- **Technical Skills:**
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Experience with cloud-based collaboration tools and desktop publishing software is a plus.
