**Job Description:**

Smart Communications is seeking a diligent and motivated Administrative Assistant to join our dynamic team in Davao City. The ideal candidate will exhibit resilience and energy while supporting various administrative functions within the organization. As an Administrative Assistant, you will play a crucial role in ensuring smooth operations and efficient workflow across departments.

**Key Responsibilities:**

1. **Administrative Support:**
- Provide day-to-day administrative assistance to management and staff, including scheduling meetings, managing calendars, and organizing travel itineraries.
- Prepare and maintain documents, reports, and presentations to ensure timely and effective communication across teams.

2. **Communication Management:**
- Handle incoming and outgoing communications, including emails, phone calls, and other correspondence, ensuring timely responses and professionalism at all times.
- Act as a liaison between departments, clients, and stakeholders to facilitate communication and collaboration.

3. **Data Management:**
- Assist in data entry, data analysis, and maintaining records in various databases ensuring accuracy and confidentiality.
- Generate and analyze reports to track departmental performance and assist in identifying areas for improvement.

4. **Office Coordination:**
- Manage office supplies and inventory; place orders as needed and ensure the office environment remains organized and welcoming.
- Coordinate events and meetings, including booking venues, arranging catering, and preparing meeting materials.

5. **Project Support:**
- Assist project teams with scheduling, documentation, and follow-up actions, ensuring timelines and deliverables are met.

6. **Customer Relations:**
- Provide exceptional customer service, addressing inquiries and concerns with a positive demeanor and effective problem-solving skills.
- Support the onboarding of new clients or partners by assisting with administrative tasks and documentation.

7. **Continuous Improvement:**
- Identify opportunities to improve administrative processes and implement changes to increase efficiency and productivity.
- Participate in team meetings and contribute innovative ideas to optimize workflow and enhance operational performance.

**Requirements:**

- **Education and Experience:**
- A minimum of 3 years of experience in an administrative support role, preferably in a corporate environment.
- A bachelor's degree in business administration or a related field is preferred but not mandatory.

- **Technical Skills:**
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
- Ability to quickly learn and adapt to new software and systems as needed.

- **Soft Skills:**
- Strong people management skills, capable of building relationships with team members and stakeholders.
- Proven analytical skills, with the ability to interpret data, identify trends, and make informed decisions.

- **Personality Traits:**
- Resilient, able to navigate challenges and adapt to changing priorities with a positive outlook.
- Energetic and proactive, demonstrating a willingness to take initiative and drive projects to completion.

- **Additional Requirements:**
- Excellent written and verbal communication skills in both English and Filipino.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
