Role Overview: We are seeking a highly organized and reliable Virtual Assistant to support our dental practice and provide personalized assistance to the clinic's principal.
The ideal candidate will have exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a dynamic environment.
Proficiency in both English and Mandarin is essential to effectively assist our diverse patient base and handle personal tasks.
Key Responsibilities: Clinic Support: Schedule and confirm patient appointments.
Respond to phone calls, emails, and inquiries in both English and Mandarin professionally and promptly.
Manage patient records, ensuring confidentiality and compliance with privacy regulations.
Handle billing, invoicing, and insurance claims coordination.
Assist with social media updates and email marketing campaigns, if applicable.
Coordinate with dental staff and vendors as needed.
Personal Assistance: Organize and manage the principal's email inbox, ensuring important communications are prioritized.
Maintain and manage the principal's personal calendar, including scheduling meetings, appointments, and events.
Assist with online shopping for occasions such as Christmas, birthdays, and special events.
Plan and organize travel itineraries, including booking flights, accommodations, and activities.
Handle personal diary scheduling and task prioritization.
Perform occasional clinic-related tasks, such as calling patients or coordinating with vendors.
Requirements Proven experience as a Virtual Assistant or in a similar administrative role.
Proficient in MS Office, Google Workspace, and appointment scheduling software (e.g., Dentrix, OpenDental).
Excellent verbal and written communication skills in both English and Mandarin.
Highly organized with strong time-management abilities.
Ability to handle personal and professional tasks with discretion and confidentiality.
Familiarity with dental terminology and procedures is a plus.
