Key Responsibilities:
1. Documentation Management: Oversee the meticulous organization of project
documentation, including filing installation photos, shipping documents, product
warranties, service agreements, delivery receipts, ocular reports, and
maintenance schedules, ensuring that all records are accurate and accessible.
2. Coordination with Teams and Scheduling: Collaborate with the operations
manager, project managers, installation teams, and contractual laborers to
facilitate timely executions to meet client needs, ensuring effective
communication throughout the after-sales process. These include:

3. Assets Management: Ensure that the warehouse, tools, vehicles, and
equipment owned by the company are properly tracked, inventoried, and
maintained in top quality.
4. Client Liaison: Serve as the secondary point of contact (after the operations
manager) for clients post-project, addressing inquiries, resolving issues, and
preparing requirements for the installation team to execute work onsite (e.g.
work permits).
5. Materials Outsourcing: Maintaining and updating a database of reliable
suppliers for equipment and raw materials needed for each project.
6. Tracking and Liquidation of Expenses: Be responsible for creating, tracking, and
documenting payment requests and expense liquidations.
7. Managing Deliveries: Planning and organizing incoming shipment deliveries to
clients, including ocular of the staging area onsite, preparing delivery receipts
and packing lists, organizing the delivery teams, and renting necessary
equipment needed for unloading (e.g. forklift). The coordinator is also
responsible for the coordination among the team and the logistics partner.
