At bubu, we are looking for a Sales and Operations Assistant who is meticulous, detail oriented and has great communication skills.
This job will entail multi-tasking various different situations and he/she can work well under these pressure.
Being a start-up we work as a lean team and this Sales and Operations assistant should be flexible and happily be able to work on various tasks given.
He/she should also be able to work independently, think ahead, work well with others and take initiative.
Key Responsibilities:
- Manage and encode daily ins/outs
- Coordinate with various suppliers/distributers
- Coordinate deliveries using courier apps such as Lalamove/Transportify/Grab
- Organize and schedule meetings and appointments
- Maintain contact lists
- Produce and distribute correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies
- Book travel arrangements
- Submit and reconcile expense reports
- Provide information by answering questions and requests
- Take dictation/minutes
- Research and creates presentations
- Generate reports
- Handle multiple projects
- Prepare and monitor invoices, purchase orders, delivery receipts
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Organize travel arrangements for senior managers
- Cover the reception desk when required
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Take accurate minutes of meetings
- Coordinate office procedures
- Develop and update administrative systems to make them more efficient
- Resolve administrative problems
- Receive, sort and distribute the mail
- Answer telephone calls and pass them on
- Coordinate repairs to office equipment
- Greet and assist visitors to the office
- Photocopy and print out documents on behalf of other colleagues
- Manage e-commerce website
- Take care of dispatching orders on a day-to-day basis
- Quality control check on orders being dispatched
- Supervise kitchen operations
- Manage and handle ingress/egress for physical offsite events
- Booth manning for selling and private events

- 8 hour shift
Supplemental pay types:
- 13th month salary
COVID-19 considerations:
No face to face interaction with customers only couriers.
Masks, face shields, hairnets, cap, shoe covers, will be used in the production area at all times.
Staff will change into uniform upon arrival from their travels before entering production area.
