Position Summary The Receptionist performs all functions related but not limited to receiving telephone calls and emails, managing of room reservation, and coordinating with the corresponding parties within the Firm to address requests or concerns. Duties and Accountabilities1 ·Greets visitors and attends to inquiries made by phone or walk-in clients.
·Operates telephone switchboards and consoles to connect, hold, transfer, and disconnect telephone calls.
·Provides information to assist clients or refers them to appropriate contact or staff either in the organization or elsewhere.
·Receives and distributes incoming mail and organizes outgoing mail.
·Manages the reservation of conference rooms and other facilities.
·Supports the management of visitors from White & Case offices.
·Promotes positive working relationships with internal departments by effectively coordinating requests with the relevant teams and resolving the issues in a timely manner.
·Updates and sends weekly reports, accomplishments, and updates to the Facilities leadership.
Completes all other duties assigned by the Facilities leadership. Qualifications Excellent oral and written communication skills and interpersonal skills. Candidate must possess Bachelor's/College Degree, any field. Excellent customer service skills Ability to operate telephone equipment or systems and e-mail/word applications, knowledge on using Room Reservation System Basic Microsoft Applications (Excel, Word, PPT) At least 2 yrs. experience specializing in Customer Service or equivalent.
