PRIMARY PURPOSE:
The primary responsibility of the Project Coordinator for BIM Department is to ensure project success by meticulously coordinating tasks, solving problems proactively, and communicating effectively. They oversee project lifecycles, ensuring they align with client expectations and maintain high standards of quality and efficiency. From project initiation to completion, they play a pivotal role in optimizing workflows, minimizing risks, and nurturing strong relationships with internal and external stakeholders. Their efforts directly contribute to seamless project execution, client satisfaction, and the overall success of our organization.
JOB DESCRIPTION:
Participate in project design meetings and propose improvements if necessary.
Supervise current projects and coordinate all team members to keep workflow on track.
Collaborate with project managers to develop project plans, schedules, and budgets.
Coordinate project kick-off meetings and ensure alignment of project objectives with client expectations.
Monitor project progress and identify potential risks or deviations from the plan.
Facilitate communication between internal teams, clients, contractors, and stakeholders to ensure smooth project execution.
Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes, and emails.
Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored.
Collect and register all technical documents such as drawings and blueprints in the company's system.
Review and update documents for maintenance and quality control.
Keep other personnel updated on new document versions and how to obtain access.
Organize and archive project files in accordance with company standards and industry best practices.
Assist project managers in resource allocation, including personnel, equipment, and materials.
Coordinate procurement activities, such as obtaining quotes, issuing purchase orders, and tracking deliveries.
Monitor resource utilization and identify opportunities for optimization to enhance project efficiency.
Implement quality assurance procedures to ensure deliverables meet regulatory requirements and industry standards.
Conduct regular quality inspections and audits to verify compliance with project specifications.
Address non-conformities and implement corrective actions as necessary to maintain project quality.
Identify potential project risks and develop mitigation strategies in collaboration with project teams.
Monitor risk factors throughout the project lifecycle and implement contingency plans to minimize disruptions.
Document lessons learned and best practices for future reference and continuous improvement.
Foster positive relationships with clients, contractors, and other stakeholders through regular communication and responsiveness.
Address client inquiries and concerns in a timely and professional manner to ensure client satisfaction.
Act as a liaison between internal teams and external stakeholders to facilitate effective collaboration and resolution of issues.
EDUCATION, TECHNICAL CAPABILITY AND CAREER:
Bachelor's degree in BS Civil Engineering, Construction Management, or a related field.
Minimum 2 - 5 years of experience in an administrative support role and/or projects-related role.
Proven experience in project coordination or a similar role within the construction or engineering industry.
Proficiency in project management software and Microsoft Office Suite and other relevant software applications.
Strong organizational and multitasking skills, coupled with meticulous attention to detail and accuracy in data entry and record-keeping.
Excellent communication and interpersonal abilities, demonstrated through exceptional verbal and written communication skills.
Ability to thrive in a fast-paced environment, prioritize tasks effectively, and embrace new technologies and tools in procurement.
Knowledge of structural engineering principles and terminology is an advantage.
Capable of working both independently and collaboratively within a team setting.
Proficient in data analysis and adept at problem-solving.
