About the Role Reporting to an Australian manager, the role involves booking management, administration, ordering, and labor scheduling, all executed with high accuracy and timeliness. It operates under senior staff guidance, providing support to branch staff. Key Responsibilities Assist with process documentation by shadowing team members and performing accurate, timely administrative tasks (e.g., managing office supplies, compliance certificates, purchase orders, trade invoices, insurance information, and coordinating with internal stakeholders for new trade setups).Accurately input job bookings, and material specifications, and create orders within deadlines. Follow up on missing information to maintain complete and accurate records.Update customers on job progress and ensure satisfactory work completion. Communicate job requirements and labor contracts to trades, and reschedule jobs as needed, consulting with stakeholders (homeowners, builders, installers, supervisors).Review purchase orders, labor invoices, and discrepancies, seeking approvals for payments. Conduct regular stock takes to ensure inventory accuracy.Build and maintain strong relationships with stakeholders, provide support to office staff, and escalate issues to internal teams as necessary. Experience & Software At least 3 years of experience in the Australian construction industry, with a strong understanding of WHS regulations and compliance standards.At least 3 years of administrative experience, demonstrating high accuracy and attention to detail.Proficiency in managing stock records, reconciling invoices, and tracking purchase orders using online systems.Tech-savvy with an advantage for candidates experienced in process documentation and improvement.
