The HR Background Screening Analyst (Officer/C09) is an entry-level position responsible for providing operational support to the HR Background Screening Team. As a member of the Background Screening Team, you will be expected to provide operational support including but not limited to; record/documentation maintenance, storage & retrieval of records, candidate and employee contact and follow-up, and the daily completion of administrative tasks and reviews of assigned cases for background screening within the region. The Background Screening Analyst is expected to liaise between other operations staff, relationship managers, project managers, custodians, internal partners, and stakeholders. The overall objective of this role is to provide day-to-day operational support in alignment with Citi operations support infrastructure and processes.
In this role you are expected to: Consistently adhere to all compliance policies mandated in and around the background screening space. Be attentive to all regulatory requirements for the background screenings conducted in the countries supported in the region. Actively work to reduce any risk and control challenges by ensuring all required steps to complete an end-to-end background screening assessment is completed consistently. Ensure candidate confidential and sensitive personal information are handled with the utmost care and as aligned with Citi's Data Handling protocols. Support your immediate supervisor, manager, and members of the Senior Leadership Teams within your workgroup through proactive partnership and consistent, open, and healthy communication. Effectively partner with teammates and provide support to each other whenever needed. Review assigned background screening candidate cases and managed corresponding systems that track and monitor the completion of said cases. Work directly with candidates and employees that are subject of the background screening to ensure that their screens are correctly initiated and any critical requirements to start onboarding are completed. Update all applicable tools and systems to reflect correct status of candidates at any given time. Partner with candidates, employees, and other internal partners to complete required actions to close off and finalize screens. This will include contacting candidates/employees, vendors, or entities through applicable and approved communication channels, following-up and escalating delays, and proactively tracking and monitoring case completion with the background screening vendor. Partner with HR team members responsible for assigned candidates and employees as well as their hiring managers for any escalations or concerns related to the screening of the assigned candidate or employee following the established escalation and follow-up matrix. Complete all assigned daily, week, monthly, quarterly, and yearly initiatives. Proactively work on any priorities assigned throughout the day and work to meet all performance targets for productivity and quality. Successfully and correctly, complete individualized assessments of background screening information to provide an appropriate final adjudication recommendation on the candidate or employee to their respective HR team members. Fully adhere to all established processes surrounding case completion, including proper documentation of results and final actions in all applicable systems and trackers. Successfully complete all necessary administrative tasks as assigned. This will include any reporting or audit responsibilities assigned to your workgroup as well as any ad hoc administrative tasks as they come up. Proactively participate in projects and stretch assignments if needed. Regularly attend meetings, forums, discussions, training sessions, and other similar activities whenever asked and actively participate in them. As a successful candidate, you'd ideally have the following skills and exposure: Previous relevant experience surrounding work in HR or Talent Acquisition Shared Services (especially Background Screening) will be preferred. Proficient in Microsoft Office General knowledge of client reporting across the industry and our competitors Proven organization and time management skills Demonstrated problem-solving and decision-making skills. Consistently demonstrates clear and concise written and verbal communication skills. Proven ability to adhere to the strictest rules of confidentiality, compliance, and risk mitigation. Ability to handle inquiries, concerns, and escalations with the utmost professionalism, tact, and efficiency.
