Marketing Coordinator

We have an exciting opportunity for a Marketing Coordinator to actively liaise with staff members to request, review, format and maintain South Queensland's CVs to help win new work for the region.
The role is also responsible for managing and maintaining other aspects of the winning work function, including support with tender submissions, managing the CV database to ensure it remains up to date with latest information, support with the production and updating of project case studies, updating and maintaining the client testimonials database and other proposal administration requests are directed by the winning work team.
**The role will primarily be responsible in**:
CV Administration
Liaise with staff members to tailor and update CVs for proposal submissions.
Actively calling staff and stakeholders to ensure CVs are submitted on time to facilitate a smooth proposal process.
Responding to any queries that staff may have or directing their questions to the Bid or Project Manager.
Work with Bid or Project Manager to develop a CV request briefing table for each proposal to clearly communicate the capability/experience/win themes requirements to be included in CVs.
Develop and maintain a CV register to track the completion of CVs for each proposal submission.
Review CVs to ensure they contain the content requested, demonstrate the correct project experience requested for the submission.
Review and edit CVs for grammar, punctuation, consistency of project naming, data completion and consistency.
Looking up the relevant information or following up stakeholders if the information is missing.
Review CVs across project team to ensure broad consistency across all CVs (e.g.
Consistency of project names, dates, currency etc across all CVs on the same project).
Lead in administering request for staff to regularly update their CVs, in coordination with Business Support Coordinators and their teams.
Ensuring headshots and personal biographies are updated and available in CV library.
Tender Administration
Monitor the SQ tenders mailbox as needed and support SQ Tender Administrator as required.
In-charge of sending out updates/addendas to the bid lead and relevant people
Upload and submit proposals to tender portals as required
Update and send out proposal report to the Market Sector Leaders and BD team as requested.
Project Sheets/ Case Studies
Working with Stakeholders to prepare project case studies, gathering information from Project Manager or Technical Specialist, seeking missing project details from BI reporting database, liaising with Senior Marketing Communications Advisor to complete a final review and edit of project case studies.
SQ Toolkit
Maintain and update CV Database.
Updating and maintaining the Project Sheet Database on SQ Proposal Toolkit.
Updating and maintaining the GHD Image Library on iConnect.
Updating and maintain GHD client testimonials document.
Fielding enquires on the South Queensland Proposal toolkit or proposal information (as needed).
Participate in HSE positive interaction initiative (IRIS input).
Manage sensitive personal information to comply with GHD data privacy guidelines.
Attendance at bid team meetings as required to support with the successful completion of tasks.
Provide assistance in encoding or documentation assistance tasks coordination with the South Queensland Business Development and Marketing Manager.
Participate in and perform other tasks that may be assigned or requested by the South Queensland Business Development and Marketing team.
We are looking for the following qualifications, skills, and attributes:
Graduate of any business related course or other equivalent courses
Experience in administrative tasks, such as document formatting, contacting people and seeking their action to update information (such as CVs)
Minimum of 3 years' relevant experience
Sound knowledge of Adobe or other PDF software
Knowledge of Sharepoint or similar databases
Proactive and with good communication skills
This job offer can be based either in Quezon City Office, Makati City or in our office in Cebu, depending on your home base / location.
