ROLE OVERVIEW We are looking for a Legal Operations Manager to be part of our team.
MAIN RESPONSIBILITIES Oversee our firm's billing processes and systems, including timekeeping, billing, retainer replenishment, payment acceptance, and accounts receivable collections.
Develop strategies to improve coordination across departments and streamline operations.
Identify inefficiencies and optimize processes to enhance productivity and reduce costs.
Lead operational projects, ensuring timely, budget-conscious execution.
Manage staff, vendor, and technology resources to ensure teams have the tools to succeed.
Oversee legal practice management and other operational systems, ensuring integration and optimal use.
Assist in creating and managing operational budgets; ensure financial reporting and billing accuracy.
Manage relationships with vendors and ensure services meet quality and budget standards.
Ensure operations comply with legal, regulatory, and ethical standards.
Supervise, mentor, and develop administrative and operational staff to ensure high performance.
Enhance client service by improving operational support, including billing and communication processes.
Provide insights and report on operational performance to support long-term strategic goals.
Billing Management Serve as the primary contact for billing inquiries from clients, attorneys, and legal assistants, ensuring clear communication regarding billing discrepancies.
Collaborate with attorneys to resolve client concerns or disputes related to billing.
Process payments in line with the firm's policies and schedules.
Ensure accurate recording of billable hours, expenses, and disbursements.
Verify rates and discounts, ensuring compliance with client agreements and fee arrangements.
Organize and maintain billing records, client files, and related documentation.
Process incoming payments, applying them accurately to client accounts.
Generate and review client invoices and trust replenishments per established schedules and guidelines.
Process Improvement and Client Care Analyze billing data to identify trends and areas for improvement.
Enhance billing procedures and systems to increase efficiency and accuracy.
Stay informed on billing regulations, industry best practices, and client-specific guidelines, ensuring compliance with legal and ethical standards.
Monitor and address any compliance-related issues or concerns.
Additional Responsibilities Provide exceptional customer service to clients, addressing concerns promptly and professionally.
Foster a positive and empathetic experience for clients, demonstrating understanding and care.
Maintain the highest confidentiality standards when handling sensitive client information.
Contribute to a positive work environment and culture.
Undertake additional duties or projects as assigned.
Requirements Minimum of 5 years of experience in operations management and billing experience in a law firm or legal services environment.
Proven managerial experience in billing operations or a similar role.
Proficiency with legal billing software and systems; Clio experience is a plus.
Strong analytical skills with the ability to identify trends and areas for improvement.
Excellent communication and interpersonal skills, capable of fostering relationships with clients and team members.
Ability to work a night shift schedule, as needed.
Must be able to work on-site at 6/F Tower 1, Rockwell Business Center, Ortigas Avenue, Pasig (near The Medical City).
