JOB OPENING Junior Administration Officer Objective of the position Responsible for providing administrative support to the team, facilitating operational tasks crucial for the Chamberâs fulfillment of its business objectives. This position reports directly to the Head of Internal Organization.
Principal Accountabilities Management of area of responsibility supervises the administration assistant collaborates with finance officer discusses and communicates KPIs regularly keeps the office and stockroom clean and safe to work Main Operational Tasks Calendar management plans and schedules driving and messengerial errands update events calendar update teams calendar Communication management handles incoming and outgoing calls (monitors all incoming calls and ensure that proper message endorsement is completed) handles [HIDDEN TEXT] communications handles initial communication of employment and internship requirements Contacts management coordinates with building administration (on building movements) coordinates with corporate secretary, tax consultant, government offices coordinates with IT consultant and other service providers sources and accredits suppliers and maintains master vendor list Office supply management monitors and replenishes office and pantry supplies conducts regular inventory count (office supplies, furniture and equipment) summarizes galley meal consumptions Organization organizes and maintains administration files and records documents onboarding and off-boarding procedures Customer and team support handles basic office technology troubleshooting handles meeting room reservations of meeting requests from all departments (and arranges refreshments, audio visual equipment, if required) handles events materials requirements monitors leave planning of all employees initiates birthday and farewell celebration of employees and interns implements (and conceptualizes) quarterly and yearly employee activities (CSR, team outing, team Christmas party, quarterly team activities) monitors intern schedule and inform Department Heads on internship requirements Finance support manages petty cash fund assists collection of open invoices assists release of payments champions compliance on 3-quotation requirements Ad Hoc tasks assigned by the department head Job Qualifications and Requirements Education: Bachelorâs Degree in Business Administration Experience: At least 2 years of experience in office administration Key Competencies: Excellent management skills Effective communication, excellent verbal and written capabilities Competent in use of business technology, internet, MS Office products, spreadsheets and database packages Friendly, supportive and helpful attitude Ability to work with minimal supervision Deadline for submission of application is May 15, 2024.
