Job Purpose As an Investment Data Specialist, your primary responsibilities will be managing, maintaining, and ensuring the accuracy of unlisted data within Xplan. With the increasing volume of investment activity for Wholesale investors including property, this role will be essential in providing accurate and timely data to clients through an online portal, supporting and ensuring accurate adviser reviews, end-of-year reporting, and client communications. The specialist will play a key role in sourcing and updating distributions, unit prices, and investment values, checking the accuracy of performance reports and providing valuable insights for advisers and ensuring seamless reporting to clients and our partners.
Your role also involves maintaining Xplan datafeeds, arranging monthly ongoing fees, ensuring data integrity, generating relevant reports, and providing support to our Wealth team and clients.
Key Accountabilities Xplan Maintenance:Correct out-of-balance accounts, map new accounts, and process corporate actions.Update fee information and compliance dates.Manage user setup and privileges.Ensure all data management activities comply with internal and external regulations and policies.Data Integrity Management:Ensure all unlisted information, including distributions, unit prices, and investment values, is sourced and accurately updated and maintained in Xplan on a timely basis.Monitor the accuracy of data inputs, performing regular checks and corrections as necessary to ensure data integrity.Generate relevant reports and lists for marketing, management, and client communications.Provide investment data insights for adviser reviews, supporting decision-making with precise and up-to-date information and ensure performance reporting is accurate.Monthly Fee Processing:Verify balances, run fee reports, and liaise with finance for reconciliation.Upload invoices and reports to the client portal.Xplan Support/Improvement:Assist Wealth team with Xplan-related issues.Provide support for the client portal, coordinating with IT specialists as needed.Work closely with advisers, investment team, and partners to ensure they have access to reliable and accurate data.Identify areas for improvement in the data management process and suggest/implement enhancements for better efficiency and accuracy.Key Competencies & Attributes Technical Proficiency: Mastery of Xplan or similar client management systems, with the ability to efficiently navigate and utilize various functionalities.Analytical Skills: Strong analytical abilities to investigate and resolve data discrepancies, interpret reports, and ensure data accuracy.Attention to Detail: Meticulous attention to detail to maintain data integrity and produce accurate reports and communications.Problem-Solving Ability: Aptitude for identifying and resolving issues, whether technical challenges within Xplan or operational discrepancies.Communication Skills: Effective communication skills to liaise with internal teams, Xplan support, and external IT specialists, ensuring clear understanding and collaboration.Organization & Time Management: Excellent organizational skills to manage multiple tasks effectively, prioritize responsibilities, and meet deadlines.Adaptability: Ability to adapt to changing priorities and operational requirements, demonstrating flexibility and resilience in a dynamic environment.Team Collaboration: Strong teamwork and collaboration skills to work effectively with the Wealth team and IT specialists, fostering a cohesive and supportive work environment.Experience / Knowledge Proven experience in effectively utilizing Xplan or similar client management systems in a financial services setting, including investment operations, data maintenance, report generation, and user support.Strong background in financial operations, with a comprehensive understanding of financial products, processes, and compliance standards relevant to the role.Demonstrated expertise in data management, including data verification, reconciliation, and ensuring data integrity within client management systems.Excellent attention to detail and strong data management skills.Analytical mindset with the ability to generate insights from data.Experience working with unlisted property investments or similar asset classes.Familiarity with end-of-year financial reporting and investment data processes.Proficiency in technical troubleshooting and issue resolution, with the ability to diagnose and address Xplan-related issues independently or with support as needed.Experience in generating and analyzing reports within Xplan, as well as proficiency in interpreting data to inform decision-making and identify areas for improvement.Strong interpersonal and communication skills for effective collaboration with internal teams and external stakeholders.Sound knowledge of compliance requirements and regulatory standards applicable to financial services operations, ensuring adherence to legal and industry regulations.Commitment to continuous learning and staying updated on industry trends, best practices, and emerging technologies, demonstrating adaptability and readiness to embrace change.Qualification Bachelor's degree in Finance, Business Administration, Economics, or a related field, providing foundational knowledge in financial principles and operations management.Certification or training in Xplan or similar client management systems, demonstrating proficiency in system utilization and maintenance.Relevant certifications or courses in financial operations, compliance, or data management, enhancing skills and expertise required for the role.
