IMAGING AND INDEXING CLERK

 

OBJECTIVE

 

The primary role of the Imaging and Indexing Clerk is to scan documents and index them by the correct document type, ensuring the accuracy and timely input of all scanned documents.

 

KEY ACCOUNTABILITIES

Sort mail and cheques by department.

Deliver to the appropriate department or person.

Forward electronic invoices to the indexing program.

Contact carriers for missing information.

Retrieve load numbers from the transportation management system.

Index all invoices and backup documents by the correct document type ensuring all indexing fields are accurately coded to process payment.

Answer document queries in a timely manner.

Provide documents as requested.

Provide Reception coverage.

Assist with Invoicing as required.

Open invoices received by mail, verify load number, BOL and POD.

Manually scan for indexing as required.Retrieve backup from carrier websites as required.

Other duties and assignments as required.

KNOWLEDGE AND SKILLS REQUIRED

 

Education and Industry Knowledge

High school diploma.

College Diploma / University Degree in Business, Accounting or related discipline is an asset.

Minimum 1 year customer service experience.

Experience in Administration / Accounting is an asset.

Experience in Transportation / Logistics industry is an asset.

Work Schedule

Willing to work on US schedule/night shift and onsite in HM Tower in Cebu IT Park

Ensure work responsibilities are covered when absent

Set working hours of 9 hours per day with requisite meal and rest breaks
