Performs diligent supervision and coordination with All Site HR Teams and Head Office Departments on documentation and safe-keeping of records pertaining to Compensation & Benefits Administration, Employee Relations & Policy Implementation, Training & Development, Site Reports required by Management, and Recruitment.
Serve as the lead implementer at the Head Office in employing prescribed standards, policies, and projects.
**SPECIFIC FUNCTIONS**
- **Recruitment**
- Acquires a weekly list of manning requirements and recruitment schedules from all departments - both at the Head Office and Sites, by maximizing all possible recruitment strategies (Online recruitment, referrals, job fairs, job posting);
- Incorporates/executes diligently in every recruitment process the standard policies and Labor Laws requirements;
- Executes appropriate time search and recruitment actions and initiatives consistent with operational needs, both for HO and Site Branches;
- Provide Weekly Recruitment Status Report to Senior HR Manager **(Every Monday)-** Actions/initiatives taken and Actual Manpower acquired based on requirements.
- **Compensation and Benefits**
- Acquires and safe-keeps updated manpower list and details of their individual compensation and benefits on a weekly basis;
- Conducts weekly validations and updating of employee's individual SSS, Philhealth, Pag-ibig, and TIN information details (number, change of status, change of address, etc.
);
- Coordinates with all Site HR Teams on the actual status of employee compensation and benefits - with proper approvals/documentation, and reflects HR systems/records any changes or adjustments on a weekly basis;
- Acquires and safe-keeps monthly copies of SSS, Philhealth, and Pag-ibig reports and remittances from Accounting Payroll Personnel and/or through Site HR Managers;
- Reviews/validates SSS, Philhealth, and Pag-ibig reports and remittances and prepares report/feedback for Accounting Payroll Personnel for any inconsistency or incorrect employee information (Name, address, etc.)
within the said reports;
- Addresses courteously employee issues on compensation and benefits and coordinates with the Senior HR Manager on any need for Policy decisions related concerns;
- Implements compliance to set standards on benefits and salary scale mandated by the government on minimum wage;
- Coordinates/communicates regularly with the Site HR Manager on the current salary trends per industry and per locality.
- Provide Weekly CompenBen Status Report to General Manager'r **(Every Monday)-** (Employee Change of Status, Position/Salary Promotion, Position Lateral Transfer, etc.)
- **Labor Relations and Policy Implementation**
- Prepares and consolidates the monthly list of resigned employees from Head Office and submits the same list to our Accounting Department for updating and alignment of Employee data;
- Prepares and consolidates the monthly list of resigned employees from Head Office and submits the same list to DOLE Office that covers OCC Office (Ortigas Area) on a monthly basis;
- Monitors and reviews employees' attendance at HO and ensure issuance of NTEs for employees' tardiness and absenteeism incidence in **the first week of the following months** **(every first Friday of the Month)**;
- Conducts comprehensive orientation and monitoring of existing Company Policies and takes the lead in its compliance and strict implementation **at least every quarter (every second Friday of March, June, September & December);**
- the Cascades with employee acknowledgment all new policy issuance from the Management;
- Facilitates comprehensive Policy Orientations;
- Prepare updates and documentation of policy implementation feedback coming from employees including their issues and concerns and submit to the General Manager on a monthly basis **(every Second Tuesday of the Month);**
- Maintains records of Employee Due Process (IR, NTE, NOD) and submits **every week the updates and summary **to Senior HR Manager;
- Prepares and issues Memorandum Notice/Announcements **at least a week before every Holiday Schedule** (Regular or Special);
- Executes and sustains good working relationship with Local DOLE Office on continuous learning on prevailing labor laws and cascading them within the organization by spending at least **once a month visit **at DOLE Office;
- Prepares Employment Contracts, Laptop, Car Plan, and other related documentation pertaining to employee benefits and accountabilities;
- Executes strategies in creating healthy open-line communications between Management and Employees to maintain industrial peace in the organization.
- **Organizational Development (Training and Performance Management)**
- Prepares 1-year Training Calendar Schedule in Coordination with Senior HR Manager and Department Heads of Head Office;
- Facilitates/coordinates scheduled training and development activities within the organization through job analysis, appraisal schemes, and position success profiles
