Head Executive Assistant (Real-Estate)

Duties and Responsibilities:

1. Schedule and coordinate meetings, appointments, and events for the executive.

2. Manage and prioritize the executive's calendar, ensuring efficient time management.

3. Prepare meeting agendas, organize logistics, and ensure all necessary documents are prepared.

4. Take meeting minutes and follow up on action items and deliverables.

5. Act as the primary point of contact between the executive and internal/external stakeholders.

6. Draft, proofread, and manage correspondence, including emails, reports, and presentations.

7. Arrange travel, including flights, accommodations, and transportation.

Prepare detailed itineraries and handle travel-related issues.

8. Assist with the preparation and review of real estate documents, including purchase agreements, leases, and contracts.

9. Track transaction progress, coordinate with legal and financial advisors, and ensure compliance with regulations.

10. Prepare summaries and reports on market conditions and property performance.

11. Conduct research on real estate market trends, property values, and investment opportunities.

12. Identify areas for improvement and streamline administrative processes.

13. Handle sensitive and confidential information, including financial data and personal details, with discretion.

14. Ensure compliance with privacy and security protocols.

15. Coordinate and manage relationships to support business objectives.

Qualifications, Skills and Experience:

1.Bachelor's Degree in Real Estate, Business Administration, Finance, or a related field.

2. Advance degrees or certifications is preferred.

3. Proven Experience as an executive assistant or in a similar administrative role.

4. Proven experience in real estate management, transactions, or development.

5. Familiarity with real estate documentation, including leases, purchase agreements, and contracts.

6. Ability to conduct market research, analyze property values, and assess investment opportunities.

7. Experience with real estate management software and tools.

8. Ability to handle budgeting, financial reporting, and expense tracking related to real-estate.

9. Excellent organizational and multitasking abilities.

10. Strong written and verbal communication skills.
