JOB DESCRIPTION: The General Accounting and Compliance Accountant will be responsible for comprehensive financial management, including cost control, preparation of financial statements (income statement and balance sheet), and providing regular financial updates to the CEO and owners. This role includes overseeing timely monthly financial reporting, reviewing operating budgets, and analyzing trends impacting budgetary needs. The accountant will generate and interpret budget performance reports, identify major variances, and recommend adjustments to align with company objectives. Evaluating the financial viability of capital expenditures, providing insights on business financial performance, and supporting management in assessing growth opportunities are also key aspects. Additionally, the role involves preparing finance-related documents for clients, business partners, contractors, and subcontractors, ensuring efficient transaction recording and control in the financial system, and preparing billing statements for trucking and brokerage services clients.
Responsibilities: Review team-issued Purchase Orders for accuracy, completeness, and compliance with company standards and policies.Client Communication & Terms Validation: Serve as a point of contact for clients, validating terms, payment schedules, and documentation requirements.Document Management: Maintain and manage client receipts, official documents, and other financial records. Oversee timely turnover of all client-related documents to ensure efficient service and compliance with retention policies. Verify that all supporting documents for receipts and payments align with the company's financial procedures. Accurately enter and record financial transactions, including accounts payable, accounts receivable, and other operational costs.Expense Monitoring: Ensure all expenses comply with approved budgets. Cross-check account codes for all expenses and transactions to maintain accuracy in financial reporting.Petty Cash Management: Act as the custodian for petty cash, overseeing disbursements, replenishment, and recording of all petty cash transactions.Voucher Preparation & Documentation: Prepare payment vouchers, ensuring all necessary supporting documents are attached and complete. Oversee the approval and filing of vouchers for easy access during audits.Governmental and Administrative Compliance: Facilitate payments for BIR, SSS, PHIC, HDMF, SEC, and other government-related obligations, ensuring timely and accurate filings. Stay updated on regulatory changes affecting company compliance and communicate any necessary adjustments.Filing & Record Organization: Implement and maintain an organized filing system for Finance and Accounting records to ensure all important documents are secure and easily accessible.Audit Assistance: Assist during both internal and external audits by preparing necessary documents, explaining financial entries, and providing other support as needed. Compile monthly reports and perform analyses on budget variances to provide management with insights into financial performance. Support management in financial planning by assessing the feasibility of capital investments and assisting with budget forecasting.Payment Processing & Disbursement Control: Review and process payments to vendors, contractors, and clients, ensuring adherence to approved procedures. Monitor and control disbursements to avoid unauthorized spending. Identify and recommend process improvements within the finance department to increase efficiency and compliance with best practices.General Support & Ad Hoc Duties: Provide support for any additional work-related tasks assigned by management to contribute to overall business success.Educational Qualifications: Bachelor's degree in accountancy, Finance, or a related field.Certified Public Accountant (CPA) (highly preferred or it's a plus but not required).Experience: 3-5 Years of Relevant Experience in general accounting, financial reporting, and compliance, ideally in the logistics or trucking industry.Experience in Regulatory Compliance in the Philippines, particularly with government requirements like BIR, SSS, PHIC, HDMF, SEC, and other related agencies.Skills and Competencies: Strong Financial Analysis and Reporting Skills: Ability to prepare and interpret financial statements, conduct budget analyses, and handle variance reporting.Proficiency in Accounting Software: (Esp. Microsoft Excel for data entry, financial tracking, and reporting).Knowledge of Philippine Taxation and Financial Regulations, especially in relation to BIR filings and other government compliance needs.Attention to Detail: Accuracy in transaction verification, data entry, and cross-checking account codes and budgets.Communication and Interpersonal Skills: Proficiency in liaising with clients, managing documentation, and explaining financial concepts clearly to stakeholders.Organizational Skills: Ability to manage document filing systems, transaction recording, and timely financial reporting.Additional Qualities: Integrity and Ethical Conduct to handle sensitive financial data responsibly.
