Facilities Assistant

**Preamble**

To provide administrative support to the team on scheduling, planning, reporting and financial matters

**Responsibilities**

**Assisting with administrative work such as, but not limited to**:

- Updating and closing work order tickets
- Uploading service reports, warranty information, invoices etc.
- Ensuring all relevant information is acquired in order to correctly assign a contractor
- Ensuring databases are up to date
- Assisting to make charges to tenants on ticket info
- Assisting to submit invoices

**Assisting with scheduling**
- Scheduling for routine maintenance works such as aircon servicing, pest control and landscaping works.
**Routine unit audits**
- Ensure the routine audits are carried out
- Ensure relevant information is acquired for tickets to be raised
- Raise audit-related tickets

**Management reporting**
- Ensure management reports are updated periodically and on time with the relevant information

**Qualifications**

**Essential**
- Fluent in spoken and written English (Mandarin or Malay is a bonus)
- Well versed in use of Google/Microsoft Office Tools
- Excellent organizing and time management skills

**Preferred**
- Experience in dealing in facilities, repairs and maintenance enquiries


Nominal Salary: To be agreed
