Your role and impact on our team Production Support the Exhibition Manager - and the wider Production Team - in the coordination and running of the Affiliate World exhibition. Be the face of Affiliate World; acting as the main point of contact for exhibitors (both pre-show and on-site). Assist with the collation of all exhibitor deliverables (company details, visual assets, self-build information) and management of special requests, and ensuring all relevant information is shared/communicated as appropriate. Assist with responding to exhibitor enquiries, via email, Telecom, and in-person on-site. Assist with the maintenance of the Exhibition Team documents, sheets, forms, manuals, and so on; ensuring all information contained within is consistent, correct, accurate, relevant, and up-to-date. Work closely with other teams (particularly Design) to make sure all exhibition-related aspects are on track, raising any identified areas of concern as necessary. Work/coordinate with various suppliers and venue teams in the delivery of the exhibition, the management of self-build booths and exhibitor special requests, and to ensure the exhibition and overall exhibitor experience is of an exceptional standard.  Assist in obtaining details of deadlines from suppliers; communicate all necessary information to exhibitors and/or the wider team as appropriate.  Monitor exhibitor deadlines and the progress of deliverables; maintain regular communication with exhibitors and chase for any outstanding materials. Assist with the checking and confirmation of event exhibition information (particularly in regards to booth specs and inclusions, and the details contained within the Exhibitor Portal).  Assist with the approval of exhibitor artwork and the subsequent pre-event checking of all materials/print deliverables, optional extras orders, special request specifications, etc. Review exhibition-related (or other) processes to identify areas for improvement and opportunities to streamline, or otherwise make our lives a bit easier and/or enhance the exhibitor experience. Work to build and maintain strong professional relationships with exhibitors and suppliers alike, through excellent service provision and regular, timely communication. Under the direction of the Exhibition Manager; generate quotes for exhibitors, raise invoices, monitor/chase payments. Onsite Support the Exhibition Manager as required in any and all on-site exhibition-related activities. Assist in the monitoring of the exhibition stand builds. Assist with exhibition checks upon completion of build. Staff the Info Desk, providing assistance to both exhibitors and attendees alike. Assist in the supporting of any outsourced staff who have been allocated a post within the Exhibition Team. Act as a point of contact for exhibitors, responding to any enquiries; resolving where possible or referring to other teams/venue/contractors as appropriate. Assist with compliance checks throughout the show to ensure that exhibitors are complying with Affiliate World rules and guidelines. Record any suggestions, feedback, etc from exhibitors/attendees. Note any other problems or issues, or areas for improvement, to inform/improve future events. Awesome Perks You'll Enjoy Fit work around your life. We use virtual offices and work from home depending on where in the world you are based . We do prefer if you can be primarily office-based in our Valero, Makati, Philippines office. Qualifications Required for the Role: Passion and excitement about working within the events industry. Highly-motivated, strong work ethic, with high personal standards, and the desire to provide outstanding service delivery. Exceptional organizational and administrative skills, with a keen attention to detail. Superb communication skills; able to communicate effectively and confidently, both in writing and in person, with exhibitors, suppliers and attendees. Great team player, with the ability to work autonomously. The ability to adapt, and willingness to get things done. Preferably a BSc or BA in Event Management, business administration, project management, or marketing. Outstanding knowledge of MS Office and Google Workspace. Competent in the use of IT, and the ability to learn new software and systems. This is a flexible (depending on mutual agreement), preferably in-office position and is full time.
