The Executive Secretary to the CEO, as supervised by the COO, is responsible for providing comprehensive support to the CEO/Presidents and Executive team in managing the company's entire operations.
This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Major Duties and Responsibilities:
- Arranges meetings, prepares agendas, distribute meeting paraphernalia, and arrange meals as needed.
- Coordinates and organizes the CEO/Presidents daily appointments and scheduled activities.
- Remind the CEO/President on matters that require follow-ups and scheduling.
- Prepares correspondences for the CEO/Presidents signature and forwards thereafter to the concerned parties: drafting letters and documents, collecting and analyzing information, initiating telecommunications.
- Handles receiving of communications for the CEO/Presidents information, reference and documents for their approval, and likewise dispatches the same.
- Screen and organizes all documents for the CEO/Presidents' signature.
- Assists in coordination of all activities and ensures information flow to and from the office of the CEO/Presidents and other business/support units; works closely with other business/support units and other stakeholders in scheduling/organizing meetings and activities.
- Arranges corporate travel and meetings by developing itineraries, booking transportation, lodging and meeting accommodations as needed.
- Manages cash flow/petty cash and credit card payments, its liquidations and request for replenishment/payment.
- Extend assistance to other management team members as needed.
- Provides historical reference by developing and utilizing filing and retrieval systems.
- Handles all other executive administrative tasks.
- Perform other related duties that may be assigned by the CEO/Presidents and other Executives from time to time.
Job Specifications:
- Graduate of any Bachelor's degree course.
- With at least five (5) years experience in similar capacity is an advantage
- Capable of handling sensitive and complex issues with discretion.
- Above average communication skills, both oral and written.
- Strong interpersonal and organizational skills.
- Must be adept to work in a fast-paced environment, with good time management skills.
