Executive Assistant
The Executive Assistant will provide administrative support including calendar management, meeting setup, travel arrangements and correspondence for team leaders.
This position will also assist with keeping track of priorities, schedules and events; preparing and distributing meeting materials; managing stakeholder groups; and researching and reviewing white papers, policy briefs and correspondence.
The ability to multi-task while maintaining complex schedules and managing administrative support is essential to this position.
The primary responsibilities of the role include:
- Manage calendar by responding to appointment requests, scheduling appointments and meetings with internal and external participants and making changes when necessary.
- Manage and arrange complex and detailed travel plans, compile documents for travel related meetings and complete expense reports ensuring that all expenses are properly documents and coded.
- Provide operational support by drafting and updating correspondence and contracts.
- Maintains consistent communication, including daily huddles when necessary.
- Develop and maintain a database of key stakeholders.
- Special Projects: Providing relational, personal and analytical support to assist on special projects.
High level networking, developing and maintaining strategic stakeholder relationships, researching issues, analyzing problems, compiling data, and preparing reports.
- Maintain the team's shared document repository and monitor and direct proper document retention procedures and record keeping practices.
- Safeguard and secure critical confidential documents and papers.
- Other task that may be assigned by the immediate supervisor.
Serve as backup for other administrative professionals, including functioning as VIP guest receptionist.
Qualifications:
- Bachelor's degree holder or equivalent work experience.
- A minimum of three years of proven service in project coordination, event planning, operational, administrative or similar role.
- Must be proficient in Microsoft Office Suite.
- Strong work ethic and high degree of resourcefulness and initiative.
- Ability to work independently, to complete responsibilities under time restraints and to multitask.
- Excellent organizational, planning and communication skills, both written and verbal.
- Strong interpersonal skills.
- Must be willing to work beyond normal office hours and schedules.
In addition to general administrative duties of an Executive Assistant, daily tasks are carried out at a higher level of complexity.

**Salary**: Php25,000.00 - Php40,000.00 per month
Schedule:
- 8 hour shift
Supplemental Pay:
- 13th month salary
Ability to commute/relocate:
- Taguig City: Reliably commute or planning to relocate before starting work (preferred)
**Experience**:
- Executive Assistant: 1 year (preferred)
