Executive Assistant

We are looking for a proactive, highly organized, and detail-oriented Executive Assistant to support senior leadership in our real estate business. The ideal candidate will play a key role in managing day-to-day operations, coordinating communication, and ensuring smooth administrative operations within the team. This position requires a professional with a deep understanding of the real estate industry and strong multitasking abilities.
Key Role:
1. Provide high-level administrative support to executives in managing their schedules, appointments, and meetings.
2. Coordinate and organize meetings, site visits, and conferences related to real estate transactions, including arranging travel and 3. accommodations when necessary.
3. Maintain and update the executive's calendar, ensuring efficient time management and minimizing scheduling conflicts.
4. Prepare and manage correspondence, reports, presentations, and other documents for meetings and presentations.
5. Act as the point of contact between executives, clients, agents, contractors, and other stakeholders.
6. Assist in the preparation and management of real estate contracts, agreements, and legal documents, ensuring all paperwork is accurate and completed in a timely manner.
7. Track and follow up on key project deadlines and action items related to real estate transactions.
8. Research and gather information on potential properties, markets, and investment opportunities as needed.
9. Organize and manage confidential and sensitive information with discretion and professionalism.
10. Support the real estate team with coordination of property showings, inspections, and closings.
11. Assist with property listings, marketing materials, and digital/social media updates for real estate properties.
12. Handle billing, invoicing, and other financial tasks related to real estate deals, working closely with the finance team.
13. Manage office operations, including filing systems, office supplies, and other administrative tasks to ensure smooth office functioning.
14. Maintain an up-to-date database of contacts, clients, and vendors related to real estate transactions.
15. Provide support for special projects, events, and marketing campaigns within the real estate department.

Requirements:
Bachelor's degree in Business Administration, Real Estate, or a related field (preferred).
Minimum of 1 year of experience as an executive assistant, administrative assistant, or similar role, preferably in the real estate or property management industry.
Strong knowledge of the real estate industry, including market trends, property types, and real estate documentation.
Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.) and real estate platforms/tools (MLS, CRM systems, etc.).
Exceptional organizational and time-management skills with the ability to handle multiple priorities.
