Job Qualifications: Bachelor's degree in Business Administration, Management, or related field preferred.Minimum of 1-3 years of experience in an executive assistant.Conduct routine office admin/secretarial work like coordination with various units, scheduling and looking after the CTO's needs.Experience in managing calendars and organizing meetings.Excellent verbal and written communication skills, with the ability to professionally interact with internal teams, stakeholders, and external partners.Strong organizational and multitasking skills, with the ability to prioritize tasks, manage deadlines, and respond promptly to the CTO's needs.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools. Duties and Responsibilities: Provide comprehensive administrative assistance to the CTO, including managing calendars, scheduling meetings, and coordinating with internal and external teams to ensure smooth day-to-day operations.Organize and prepare materials for meetings, including drafting agendas, distributing relevant documents, and taking minutes. Ensure follow-up on action items and deadlines.Handle incoming and outgoing communications, draft replies as needed, and prioritize messages for the CTO. Ensure timely responses and appropriate follow-up on important matters.Prepare, review, and edit reports, presentations, and documents required by the CTO. Ensure accuracy and professionalism in all materials before they are shared with stakeholders.Maintain strict confidentiality when dealing with sensitive company information, client data, and internal communications.Act as a primary point of contact between the CTO and other departments, ensuring efficient communication and coordination of tasks, projects, and schedules.Support the CTO in managing and tracking key projects, ensuring deadlines are met and tasks are completed. Provide updates on the status of ongoing initiatives and assist with project documentation.Oversee office-related tasks such as ordering supplies, coordinating with facilities for repairs, and ensuring the CTO's office environment is organized and equipped to meet daily operational needs.Coordinate with vendors, partners, and clients on behalf of the CTO, ensuring professionalism and timely resolution of inquiries or issues.
