Position Overview The position of Executive Assistant I provides executive administrative support to an executive leader (VP). The incumbent will regularly plan and manage the day-to-day tasks at the direction of their assigned executive leader(s). The incumbent will exude a strong work ethic, with a focus on accuracy and timeliness. The Executive Assistant I will report performed additional duties assigned by his/her assigned Insight Executive.
What you'll do at Insight Manage the senior executive leader's calendar and schedule appointments and meetings, based on availability and preference of Executive. Coordinate domestic and international travel arrangements, including transportation and lodging. Streamline and manage executive expense reporting processes to ensure accuracy and timeliness. Act as a liaison between the executive leader and other internal and external stakeholders. Coordinate executive's schedule and/or makes appointments. Prepare reports, presentations, and other materials as needed. Coordinate and arrange meetings, prepare agendas, reserve and prepares facilities, record and transcribe meeting minutes. Assist with meeting set up, including video conferencing and audio. Answers and screens telephone calls. Arranges conference calls. Manage and maintain the executive leader's filing system, both hard copy and electronic Manage and route incoming and outgoing mail. Locate and attach appropriate file(s) to correspondence to be answered by Executive. Welcome scheduled visitors and direct them to appropriate area or person. Conducts research, compiles, and produces statistical reports. Handle confidential information with discretion and professionalism. Ensure that all administrative tasks are completed accurately and on time. Orders and maintains supplies and arranges for equipment maintenance. Performs general office duties and miscellaneous tasks as assigned. If applicable, responsible for office support activities. What you'll need to join Insight Minimum of 4-6 years of related experience and/or training; or an equivalent combination of education and experience. Strong proficiency in Microsoft Office Suite (particularly Outlook, Word, Excel, and PowerPoint). Excellent communication and interpersonal skills. Ability to work under pressure and prioritize tasks effectively. Attention to detail and accuracy. Experience in a fast-paced work environment. Strong discretion and integrity. Ability to effectively present information and respond to questions and/or issues from suppliers, management, and other teammates. Previous SAP experience a plus. Amenable to work in a night shift sched and in Pasig for a hybrid set-up.
