Location: Valenzuela, 1442 Metro Manila, PhilippinesPosition: Executive Assistant/HR AssistantFull-time | Temporary WFH | Monday-Friday 9:00 PM – 5:00 AM PHTSalary: P30,000-P40,000 (DOE)Benefits: Government benefits and HMO JOB SUMMARY: The Executive Assistant to the Country Head provides high-level administrative support, ensuring the smooth operation of the Executive Office. This role involves managing the Country Head's schedule, coordinating meetings, handling communications, and executing various administrative tasks to facilitate the Country Head's ability to lead the company effectively. JOB RESPONSIBILITIES: Administrative Support:Assist with HR functions related to talent acquisition.Manage and maintain the Country Head's calendar, including scheduling meetings, appointments, and travel arrangements if any.Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Country Head.Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring timely and appropriate responses.Other tasks may be assigned.Meeting Coordination:Organize and coordinate executive meetings, including preparing agendas, distributing meeting materials, and taking minutes.Ensure the Country Head is well-prepared for meetings, including conducting research and providing necessary documents and background information.Travel and Itinerary Management: Arrange and coordinate travel plans, itineraries, and accommodations for the Country Head.Prepare detailed travel itineraries and ensure all necessary arrangements are made for a smooth travel experience.Communication Liaison: Act as a primary point of contact between the Country Head and internal/external stakeholders, including employees, clients, partners, and Board members.Facilitate communication and follow-up on action items, ensuring timely and effective resolution of issues.Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism.Maintain confidentiality of all corporate, personnel, and research matters.Office Management: Oversee the daily operations of the Executive Office, including maintaining office supplies, managing office equipment, and coordinating with other departments as needed.Support other members of the executive team as required.JOB QUALIFICATIONS: Bachelor's Degree in Business Administration, Management, or a related field preferred.Minimum of 2 years of experience as an Executive Assistant, preferably in a Corporate/BPO environment.Excellent English communication skills.Proven experience in talent acquisition.Strong organizational and time-management skills.Excellent verbal and written communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Ability to work independently, manage multiple tasks, and prioritize effectively.Strong attention to detail and problem-solving skills.High level of professionalism and interpersonal skills.Ability to handle confidential information with integrity and discretion.Ability to adapt to changing priorities and handle unexpected challenges with ease.Proactive approach to anticipating the needs of the Country Head and addressing issues before they arise.Ability to work effectively with diverse teams and build strong relationships across the organization.Willing to work in a WFH temporary setup then move to onsite.Willing to start ASAP.
