**JOB SUMMARY**:
***The Executive Assistant (EA) will provide assistance and support to high-level executives (the President) and is often trusted with complex duties and sensitive information.
Aside from providing general administrative work, the Executive Assistants is also in charge of scheduling meetings, taking minutes during sessions, maintaining databases, and producing reports or presentations for the President.
This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
The ideal person for the job must have exceptional communication skills and meticulous attention to detail.
**Job details**:
- Serves as the primary point of contact for internal and external clients pertaining to the President, including those of a highly confidential or critical nature.
- In charge of the processing of different accreditation of the Company.
- Works closely with the President to keep him well informed of upcoming commitments and responsibilities.
- Provides polished calendar management for President.
- Provide admin support during Board of Directors meetings and ManCom.
- Anticipates President's needs in advance of meetings, conferences, and others.
- Arrange, coordinate, and handle all meetings and events related to the President.
Such as scheduling; drafting agendas; developing, compiling, and distributing presentation materials; and recording meeting minutes.
- Prioritizes inquiries and requests; makes judgments and recommendations to ensure smooth day-to-day engagements.
- Provide support to the management team as directed by the President to ensure that company goals and objectives are accomplished, and operations run efficiently.
- Manage, coordinate, and arrange the Presidents' business travel and travel-related activities, including hotel booking, transportation, and meal coordination
- Maintain professionalism, and strict confidentiality, and exercise discretion when interfacing with the business.
- Manage information flow and distribution of correspondence in a timely and accurate manner.
- Organize and maintain the office filing system in the Office of the President.
- Complete a broad variety of administrative tasks including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings; composing and preparing correspondence; and maintaining contact lists.
- Act as a "barometer," having a sense of the issues taking place in the environment and keeping the President updated.
- Provide event management support as requested.
- Provide hospitality to all guests and help to create a welcoming environment.
- Adhere to all policies and procedures relative to the discharge of duties and responsibilities as Executive Assistant, and as an employee of the company.
- Perform other duties and functions or special projects related to EA tasks that may be assigned from time to time.
**QUALIFICATIONS**:
**Educational Background**:
- Graduate of Business Administration, Marketing Management, and Office Management or any related course.
**Years of Related Experience**:
- With at least 2 years of relevant work experience as an Executive Assistant
