GoTeam is looking for someone who can provide provide technical and administrative support for the Events Team for one of our clients in the Events Services Industry.
Based in Texas, your client provides award-winning events management, planning, and production services, as well as tent and furniture rentals and other party essentials, to make corporate, sports, and personal events a memorable success.
**What You Will Do**
- Provide technical and administrative support for the Events Team
- Provide a professional and friendly reception and administrative function for the Events Team, ensuring that all visitors are appropriately greeted and actively looked after
- Provide general administrative support for the Events Team as agreed with the Events Manager
- Take minutes of meetings and carry out relevant follow-up work from meetings, including advising team members of actions required and ensuring all urgent matters relating to the Events Team are dealt with in the required time scales.
- Order stationery and day-to-day office equipment and resources and maintain the team inventory, which includes the inventory of event equipment in storage
- Notice and follow up correspondence with contacts and enquirers, and ensure the Events Manager is kept fully up-to-date with any developments, ensuring appropriate communication internally and externally
- Manage events database
- Run database queries that will enable the production of mass mailings and VIP invitations
- Run database queries on a regular basis that will ensure that the data contained is accurate and up-to-date
- Assist with events communication and marketing
- Maintain and update events calendar on a daily basis, including an event synopsis, time, venues information, lead officer and contact information for each entry
- Produce Daily Alert messages for all events lead by the Events Team for staff and client lists
- Produce internal marketing materials for all events led or supported by the Events Team and ensure that they are displayed prominently in appropriate facilities prior to the event and removed immediately following the event.
- Produce marketing materials to be sent to the external marketing distribution list
- Serve as the point of contact of client and vendors
- Maintain regular contact with the client to ensure all events and activities are appropriately calendared and supported
- Develop and maintain good working relationships with clients and vendors to ensure that all of their activities are coordinated with the operations of the Events Team and appropriately calendared and supported
- Represent the Events Team at all events and activities lead by the team and stand in for, or cover for, other members of the team as required
- Take responsibility for the development and delivery of small-scale events within the programme
- Ensure that the departmental Finance Officer has copies of all Events Office purchase order requests and invoices.
- Produce a monthly report of the Events Office budget for the Head of Events which includes any spending on procurement cards during that month.
**Skills and Qualifications**
- Proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook
- Proficiency in Adobe Suite, including Lightroom, Photoshop, Illustrator, and InDesign
- Bachelor's degree in marketing, communications, information technology, or a related field
- Project management skills
- High-level organizational skills, willingness, and ability to manage multiple projects in a fast-paced, deadline-driven environment
- Excellent verbal, written communication and people skills
- A strong work ethic, professionalism, and integrity
- Ability to accept positive and negative feedback
- Ability to work to deadlines and has high attention to detail
