Job Title: Company Nurse and Payroll Specialist Department: Human Resources
Reports To: Human Resources Manager
Job Purpose: The Company Nurse and Payroll Specialist is responsible for the comprehensive management of payroll processes and providing nursing care and health management within the organization. This role ensures accurate payroll administration, compliance with health and employment regulations, and supports the overall well-being of employees.
Job Summary: This role effectively combines nursing responsibilities with payroll management. It involves ensuring accurate and compliant payroll operations, administering employee benefits, and providing first aid and health counseling. This position supports the organization's goals by enhancing workplace safety and financial accuracy.
Key Result Areas and Functions: I. Payroll Processing Verify accuracy of payroll data prior to submission to accounting to ensure data integrity. Address discrepancies in payroll records and liaise with accounting for timely corrections. Maintain the confidentiality and integrity of all payroll information. Collaborate with the finance and HR departments to enhance payroll processing efficiency. Monitor legislative and policy changes impacting payroll to keep the system up-to-date.

  II. Timekeeping and Attendance Monitoring Oversee the HRIS for tracking work hours, leaves, and overtime to ensure accuracy and timeliness. Facilitate integration of timekeeping data with payroll systems for streamlined operations. Resolve timekeeping discrepancies to maintain accurate attendance records. Generate and deliver detailed attendance reports to management, highlighting trends and issues. Enforce compliance with organizational timekeeping practices and standards. III. Statutory Benefits and HMO Administration Administer enrollments and renewals for SSS, Pag-IBIG, PhilHealth, and HMO plans. Handle inquiries and concerns from employees about their statutory benefits and HMO coverage. Coordinate with HMO provider to manage claims effectively. Analyze and recommend improvements to benefit processes to increase efficiency and effectiveness. Review and update benefit plans regularly to meet the evolving needs of employees and align with organizational objectives. IV. Manpower Agencies Billing Verification Verify billing statements from manpower agencies to confirm the accuracy of charges and adherence to contractual rates. Review daily time records of store personnel provided by manpower agencies to validate hours worked against services billed. Report discrepancies in billing or time records directly to the manpower agencies for correction. Communicate regularly with manpower agencies to address any issues related to billing and time records promptly. Maintain records of all verifications and correspondences with manpower agencies to ensure transparency and facilitate audits. V. Nursing Responsibilities Deliver primary healthcare and emergency first aid to employees. Conduct health screenings and manage health records with confidentiality. Serve as the primary health contact within the organization, coordinating with external health providers as necessary. Organize and lead health and safety training sessions. Comply with health and safety standards across the organization. Job Qualifications: A. Education and Training: Bachelor's Degree in Nursing. Valid nursing license is mandatory. B. Experience and Knowledge: Experience in HR benefits administration and payroll processing, preferably in a corporate setting. Knowledge of HRIS and payroll software. Regulatory Knowledge: In-depth understanding of payroll and healthcare regulations. Analytical Skills: Strong capability in data analysis and financial management. Problem Solving: Proficient in addressing issues across payroll and healthcare functions. Communication Skills: Exceptional ability to communicate effectively at all organizational levels. Adaptability: Quick to adapt to changes and capable of updating strategies to meet organizational needs.
