Job Description As a Client Delivery Coordinator, you'll be the linchpin for client onboarding, creating seamless processes and templates that pave the way for successful client integration. Collaborate with internal teams to ensure every step aligns with client expectations, using tools like Asana to keep tasks on track. Smooth Sailing to Success! Employment type: Full-timeShift: Day Shift, Mon - Fri, 06:30 AM - 03:30 PM (Fixed weekends off)Work setup: Permanent WFHPerks: Day 1 HMO, Above-market salary, Global exposure List of Responsibilities: Mastering Client Onboarding and Beyond! Client Onboarding and Delivery Develop workflow and process automation templates for onboarding new HR Retainer and Recruitment clients.Facilitate the client onboarding process by preparing and providing necessary documentation, communicating with clients, and scheduling meetings.Collaborate with internal teams to ensure a smooth client transition and onboarding experience.Monitor and follow up on onboarding milestones to ensure timely completion.Serve as a superuser on Employment Hero and administer client accounts.Respond to client queries in a timely and effective manner.Liaise with client payroll providers and other external parties as necessary.Identify and resolve internal friction points to ensure successful service delivery for clients.Utilize Asana to set up, assign, and track tasks related to HR projects and client delivery.Coordinate with relevant team members to ensure projects are delivered on time, meet quality standards, and address any bottlenecks or issues.Reporting for Retainer Clients: Develop and deliver weekly Slack reports to communicate key activities.Generate and provide other reports as requested.Create monthly and quarterly activity reports for clients, highlighting the value added.Documentation Creation and Management Create, organize, and maintain client-related document templates, such as policies and performance improvement plans.Use Google Sheets report data to create compelling and visually appealing stories for client insights.Draft content for key documents, including culture survey reports and performance review processes.Ensure all documentation is up-to-date and compliant with company policies and legal regulations.Maintain a register of documents and establish a process for regular review.Manage the storage and accessibility of documents in an organized and secure manner.Regularly review internal business processes to enhance decision-making effectiveness and efficiency.Operational Support Identify and implement process improvements and automation opportunities within HR and operational workflows.Manage automation tools to streamline administrative tasks and increase efficiency.Prepare contracts for client services and oversee the signatory and filing process.Handle client invoices using Xero and perform reconciliation and basic finance administration tasks.Schedule client meetings with internal team members as needed.Develop LinkedIn and social media content plans and post approved content.Use Canva and brand guidelines to create content assets.Prepare agendas for internal and external meetings, manage action items, and oversee Asana task management.Assist with ad hoc administrative tasks, such as travel bookings.Recruitment Support Reporting for Recruitment Clients:Generate fortnightly Recruitment Activity Statements for all active roles and clients.Create Recruitment Activity Statements for placed roles.Create and modify candidate CVs for client submissions.Establish a routine for Vincere administration checks and enhancements, ensuring data integrity.Build email lists within Vincere and create database campaigns for recruitment activities.Manage engagement hub invitations and coordinate related activities.Update Vincere templates and act as a superuser.Administer candidate and client satisfaction surveys.Conduct candidate outreach and schedule meetings for the talent acquisition team.Other Perform work outside of regular hours as required.Carry out any additional duties as reasonably requested by The People Plugin.Demonstrate a collaborative, proactive leadership approach to working with The People Plugin.RequirementsQualifications Needed: The Perfect Fit Key Skills, Qualities, and Technical Knowledge Proficiency in Google Suite (Docs, Sheets, Slides) for templates, spreadsheets, and report draftingEssential: Competence in using Slack for team communication and collaborationPreferred: Human Resource experience and knowledge of Australian employment lawPreferred: Experience in scaling operations within smaller organizationsPreferred: Familiarity with Employment Hero, Vincere, or a Human
