JOB SUMMARY:
The Chief of Staff reports directly to the Chairman and CEO and holds the important role of attending to day-to-day operational issues and concerns that will allow the Chairman to focus on growing the business.
Duties and Responsibilities:
1. Assists the Chairman & CEO by organizing all of his incoming and outgoing documents.
2. Identifies priority documents that need the signature or decision of the Chairman and calls his attention to these.
3. Takes care of all the Chairman & CEO's internal and external communications by preparing and transmitting memos and letters for his approval and signature.
4. Ensures that all company and personal records and files of the Chairman are well organized and systematically filed for easy access and reference.
5. Manages the Chairman's calendar and ensures that meetings are held as scheduled and without conflicts.
6. Follows up the Functional Heads to ensure that deadlines are met in the submission of required reports and that all documents for the Weekly Functional Meetings are in order prior to the meetings.
7. Monitors the scheduling and hiring of Managers and Officers in close coordination with Group HR Recruitment Team.
8. Keeps the Chairman & CEO well informed on all company issues and concerns.
9. Acts as a go-between among the Executive Assistants, Senior Executives and the Chairman & CEO in order to achieve a smooth flow of internal communication within the Office of the Chairman.
10. Relays messages from Senior Executives to the Chairman & CEO and vice versa. 11. Assists the Functional Heads to resolve internal issues and problems.
12. Assesses inquiries directed to the Chairman & CEO coming from within or outside the company and identifies the appropriate Functional Head to take action.
13. Attends to other personal matters as requested by the Chairman & CEO. 14. Performs other tasks that are assigned by the Chairman & CEO.
QUALIFICATIONS:
- With at least twenty (20) years of work experience as Chief of Staff to the Chairman / Chief Executive Officer or a President of a diverse company or Group of Companies preferably in the construction, manufacturing or other related industries.
- Bachelor's degree in economics, Management or other related business courses.
- Must have been a Chief of Staff to the CEO and must have handled top marketing and sales positions or COO/ CFO positions in the past.
