Employee Contract Type: Local, Fixed-Term (2-year contract), Full time | Remote modality HAY Grade: 14 JOB PURPOSE This role will report to the Global Director – Global Assurance & Advisory (GAA) Operations, and provide administrative support in preparing and generating financial and operational information that meets various Global Assurance & Advisory (GAA) stakeholder needs.
The role will involve timely monitoring and preparation of information using Power BI (and other available data visualization tools) in various operational and administrative areas within GAA, for operational decision-making by GAA Senior Leadership Team (SLT). These areas include Financial Budgeting and Reporting concerning the GAA Global Centre (GC) Team, People Matters around the GAA Staff Roster and Asset Management, and GAA Annual Devotion Program Planning and Coordination.
The role will also be critical in providing support to other members of the GAA Operations Team as needed from time to time, to prepare high-quality operational reports for GAA SLT and other external stakeholders' decision-making.
MAJOR RESPONSABILITES 70% time: GAA Global Centre Financial Budgeting and Reporting Support the Global Director – GAA Operations in the following areas:
Budgeting and Forecasting: Prepare the GC Annual Budget by coordinating with the GAA Cost Centre Managers and the GAA Finance Business Partner to identify budget needs as appropriate Prepare annual chargeback documentation for the annual budgeting process, including those of Regional Teams and the Global Internal Investigations Unit (GIIU). Update Adaptive Finance with approved budgets for all GC Cost Centres in line with the GC Finance Annual Budgeting Calendar Prepare initial budget forecasts by cost center, in collaboration with the GAA Finance Business Partner, and have summary reports for timely review and approval by Global Director – GAA Operations. Liaise with other members of the GAA Operations Team for timely budgeting and accounting of licenses and/or contracts related to their areas of responsibility. Reporting Ensure GAA GC Monthly General Ledgers are reviewed and summary analysis of expenditures by cost centers are prepared for review and approval by the Global Director - GAA Operations, and for communication to Cost Centre Managers for their monitoring. Ensure monthly and quarterly variance explanations are prepared by engaging the relevant cost center managers within the expected reporting deadlines. Ensure Quarterly cost allocation processes for Regional and GIIU Teams is completed and submitted within the required timelines. Develop trend analysis reports of GC Teams for effective monitoring and decision-making by GAA SLT. External Service Provider Contract Management: Liaise with various service providers that GAA engages with (Gartner, Simon Mort, Ideagen, IDEA Caseware, etc) to ensure annual contracts are negotiated and approved timely by Global Director – GAA Operations, including appropriate record keeping. Tracking of External Consultants via Provision/Coupa System: Ensure consultants are effectively updated and managed in Provision for timely payments of their services. This may require collaboration with the GAA Global Supply Chain Management (GSCM) Buyer and GAA People & Culture (P&C) Business Partner. Annual Coordination of GAA Support about World Vision International (WVI) External Audit Expense Verification Ensure timely planning, coordination and monitoring by engaging with GC Finance, KPMG and Regional Teams for scheduling and monitoring in line with the agreed KPMG Schedule Ensure appropriate engagement documentation is signed by all parties involved in the verification exercise, and communicated to KPMG Team Lead. Liaise with the GAA AMS Manager for timely tracking of auditor time on the verification exercise. 15% time: People/Staff Matters Provide orientation/onboarding of new staff alongside GAA L&D Advisor and GAA P&C Business Partner on critical GAA Operations and other administrative/operational aspects, in line with agreed onboarding schedules. Ensure GAA Organogram and Email List are up to date monthly and aligned to GAA's Staff Roster which is managed by GAA's Business Analyst, for accurate and complete Executive Reporting. Ensure GAA Assets are actively monitored and kept up to date using GAA's Asset Register. Maintenance of the WV Central page to keep content current and relevant, as will be guided by the Global Director - GAA Operations. Ensure timely preparation of GAA's Annual Devotion Calendar in consultation with the GAA Christ Central Team and the GAA Chief Audit Executive (CAE)'s Executive Assistant for appropriate calendar scheduling. Ensure monthly coordination and scheduling of the GAA Devotion Meeting, and communication to all GAA of relevant reference material after the devotion calls. Act as GAA Operations Team contact in the GAA Christ Central Team and advise the Global Director – GAA Operations as needed from time to time. 5% time: Other Operational Matters Coordinate Operations Team Meetings as required from time to time, including monitoring closure of action items. Other responsibilities may be delegated from time to time by the Global Director - GAA Operations and/or other GAA Operations Team members. KNOWLEDGE/QUALIFICATIONS FOR THE ROLE Required Professional Experience, education, training, license, registration, and certification: Bachelor's degree in Finance, Business, Accounting, or a related field. At least three [3] years of work experience in a similar role. Excellent knowledge of MS Excel and Accounting software. Knowledgeable in preparing visual presentations using Microsoft Office (Excel and PowerPoint mandatory) Experience working in an Audit (Internal or External) environment. A high degree of competency in using technology and working with data. In particular, experience of working with data extraction and interrogation software, such as Power BI or similar. CPA (Certified Public Accountant) or CA (Chartered Accountant) or similar relevant qualification. Certificate in data analysis and/or data visualization, preferably Power BI. Strong analytical skills. Ability to engage in a multi-cultural setting with cross-cultural working experience. Excellent planning, time management and organizational/project management skills. Excellent communication skills, both verbal and written. Strong attention to detail Proven team-building and interpersonal skills Preferred Knowledge, skills and qualifications: A Master's degree would be an added advantage Experience in the INGO sector is an added advantage. Experience with Adaptive software is an added advantage. Working proficiency in Spanish or French is an added advantage Language Requirements: High command/fluency in English both written and oral communication skills. Other language like French or Spanish will be an added advantage. Travel and/or Work Environment Requirement :
