JOB DESCRIPTION: Provides administrative support to the Dean in the performance of his/her tasks. He/she attends to the needs and concerns of the faculty members and students.
SPECIFIC DUTIES AND RESPONSIBILITIES: Attends to / Entertain students and guests with official business with the College Dean. Prepares schedule of the Dean, College Secretary and other College Coordinators for internal and external meetings and engagements. Provides assistance to HR in terms of providing employee information and necessary documents particularly on the faculty ranking and loading. Encodes, records, manages files pertaining to faculty ranking and loading. Maintains printed and e-files, such as employee contracts and FLAs. Maintains filing systems particularly documents on PAASCU, HCCA, MOA and Contract of Affiliating Agencies and other related documents, office reports and other related documents. Generates required reports as needed and instructed by the College Dean (minutes of Coordinators and faculty meetings). Prepares communication letters as needed for internal/external communications. Assists the College Dean in making reports and other materials needed for meetings. Monitors and follows-up College Coordinators' report as required/requested by the College Dean. Prepares necessary documents and supporting documents needed for requests. Reviews / Double checks the documents and necessary supporting documents prior to Dean's approval and signature. Assists the Dean in preparing and coordinating materials/documents needed for college/institutional events. Encodes Contract of Affiliation under the supervision of the College Secretary/College Dean. Maintains filing systems (printed and e-copies) particularly on contacts, communication letters and other related documents. Initiates request and forwards signed request to the Office of the Administrative Directorate. Generates database for: faculty specialization, resignation – faculty mobility, masters degree. Other duties and responsibilities that may be assigned by the immediate superior from time to time. QUALIFICATIONS: Must be a graduate of any four-year course, preferably health-related. Must have at least six months related experience. Must be computer literate. Good written and oral communication skills. Willing to learn. Calendar Management Skill. Good Interpersonal Skill. Keen eye for detail. Job Type: Full-time
Pay: Php16,000.00 - Php18,000.00 per month
