To provide assistance in carrying out the administrative requirements in Admin Department.

**Key Responsibilities**
**Reception and Secretarial Function**
1.1.
Manages the reception area, receives and screens calls, and routes to the requested parties accordingly;
1.2.
Takes/logs message from callers and relays to the concerned party, if the latter is unavailable to take the call;
1.3.
Screens, receives, and welcomes guests/ushers to meeting rooms, and advises the intended person to visit;
1.4.
Receives and logs incoming correspondences/letters, and promptly routes these to the addressees;
1.5.
Collates documents for Directors' or President's signature/approval from different departments and return approved/ signed documents to requesting parties;
1.6.
Prepares and coordinates use of meeting rooms and assists in serving refreshments to managers' meetings.
**Property Custody, Release, Recording, and Monitoring**
1.7.
Custodian of petty cash fund for Admin Department;
1.8.
Requests cash advances for administrative requirements such as groceries, and cleaning materials for office;
1.9.
Ensures the proper safekeeping and availability of the funds;
1.10.
Summarizes liquidations of expenses, and ensures timely replenishments of funds.
**Property & Vehicle Document Renewal Yearly**
1.11.
Generates the summary of all property insurances, and their renewal.
Prepares requirements and payment requests for premium;
1.12.
Vehicle registration monitoring and renewal of insurance;
1.13.
Maintains and updates all related records;
1.14.
Vehicle and drivers dispatching and scheduling / shuttle service or transport service schedule and monitoring for employees.
**Check Releasing and Others Responsibilities**
4.21.
Receives checks from the Finance Department for release, and ensures payments/issuance to suppliers, vendors by securing appropriate official receipts (OR);
4.23.
Records and reports remaining checks for release;
4.24.
Provides assistance in preparing/securing requirements for other permits and registration;
4.26.
Coordinates request for gate passes and permits for work or job orders within the office/building;
4.27.
Performs other tasks that may be required by the immediate superior.
4.28.
Communicate with Building Admin for office requirements.
**5.
Minimum Qualifications**
- Education : College graduate preferably in Business Admin
- Experience : At least six (6) months of experience
in administrative work preferably gained from construction or related industry; or two +years' college education with at least two (2) years of directly related experience.
