Job Description DUTIES AND RESPONSIBILITIES
• Read and analyze incoming memos, letters, and reports to determine their significance and distribute appropriately.
• Proactive, organized approach to multitasking.
• Familiarity with office management procedures and basic accounting principles
• Create and maintain monitoring file; create letters, reports, purchase orders, change orders and their respective attachments, reimbursement requests, and pay requests.
• Greeting office visitors and directing them to the appropriate parties.
• Answer and direct phone calls or take messages for appropriate parties.
• Coordinating schedules and managing calendars for multiple parties in case of conflicts to teams.
• Correspond on call inquiries, messages, email inquiries of vendors and employees as needed.
• Coordinate invoice routing and monitor payments to vendors.
• Sorting and maintaining documents of employees, vendors and of the company.
• Proofread and analyze contracts, documents for proper endorsement.
• Drafting letters and reports.
• Verify insurance proposals and follow up to ensure proper coverage is in place.
• Assisting employees for I.T. related concerns.
• Prepare agendas for meetings and make arrangements, such as coordinating catering for luncheons, for committee, and other meetings.
• Researching, checking, overseeing, spear-heading company event.
• Monitoring and assist renewal of company government documents.
• Assist foreign expatriate such as visa processing, requirements, condominium, car, and other administrative duties.
• Assist secondees and employees for business trip on administrative duties.
• Maintaining, repairing, or replacing office equipment.
• Perform general administrative duties such as but not limited to; filing, photocopying, taking and distributing meeting minutes, managing schedules, coordinating travel arrangements, scheduling appointments with internal and external parties, ordering supplies, sorting and distributing correspondence and maintaining database records.
Qualifications Requirement QUALIFICATIONS:
1. Candidate must possess at least a Bachelor's/College Degree.
2. Required Skill(s):
• Candidate must possess at least a Bachelor's/College Degree from any reputable schools/universities,
preferably in Marketing.
• Background in containerized cargo shipping industry is an advantage
• Responsible and with good leadership, management and organizational skills
• Highly skilled and efficient in using MS Office
• Problem solving, verbal/written communication skills.
• Ability to formulate strategies, conduct research and analyze market and locate new opportunities
• Ability to work with people at all levels; ability to work individually and as a part of a team.
• Ability to multitask, prioritize, have high level of accuracy and be detail oriented.
• Fresh graduates/Entry level applicants are encouraged to apply.

Job Description -Handing Admin work such as Attendance/deployment management, Office supply management, Official document management, Managing Legal issue related to Employment and arranging BOD matter-Handing Purchasing work such as Supplier management, Delivery management, Stock control and import management•Filing and organize monthly attendance of all employee and secure supporting documents•Managing the deployment of regular/casual staff in Installation business as per the request from the installation department.•Coordinating interview/acceptance/deployment/resignation of casual staff with the agency.•Preparing a document related department - SOP - BIlling - Certification Etc.•Arranging Business trip (as per request)•Managing Office supply•Managing company car schedule•Managing official document such as permission, certificate and contract related to admin work•Managing legal issue related to employment with an attorney.•Securing quotation from local supplier and ordering•Control delivery from supplier to the site•Handling/Arranging delivery from a factory to the office(the site)•Managing parts stock•Document work of import with agency•Confidentiality of Information and Transaction Agreement.
