Job Responsibilities: Administrative and Clerical Support - Manage daily administrative tasks such as data entry, filing, and document organization. - Prepare, proofread, and edit reports, presentations, and correspondence. - Maintain and update records, ensuring data accuracy and confidentiality. Email and Communication Management - Monitor and manage email inboxes, responding to or redirecting messages as needed. - Organize emails into appropriate folders and prioritize urgent matters. - Draft and send professional emails on behalf of the team or manager. Calendar and Schedule Management - Coordinate and schedule meetings, appointments, and events. - Send meeting invitations, agendas, and reminders. - Reschedule and adjust calendars as needed while managing time zones. Client and Team Communication - Serve as a point of contact for internal teams and external clients, addressing inquiries promptly. - Handle phone calls with excellent telephone etiquette and relay messages accurately. - Take detailed notes during meetings and distribute them to relevant stakeholders. CRM and Data Management - Input, update, and maintain records in the Customer Relationship Management (CRM) system. - Generate reports and summaries from CRM data as required. - Ensure data integrity and accuracy across all platforms. Coordination and Collaboration - Work with team members using collaboration tools like Microsoft Teams, Zoom, or Slack. - Share updates, documents, and other resources efficiently. - Assist in coordinating team projects and ensuring deadlines are met. Social Media and Marketing Assistance - Post updates or ads on social media platforms if required. - Assist in managing responses to social media inquiries. - Support with basic digital marketing tasks like proofreading content or coordinating campaigns. Case and Task Management - Take detailed case notes during client or team meetings. - Track and manage tasks or assignments, ensuring timely completion. - Provide follow-up support to ensure all action items are addressed.
