The Admin and Facilities Lead is responsible for the overall day-to-day management, organization, and coordination of the administrative activities and procedures of the company.
They oversee facilities management, maintenance and management of assets and supports business processes of other departments.
**Duties and responsibilities**:
- Manage the business administration function including but not limited to facilities management, maintenance, support business processes, procurement, supplies and asset management.
- Manage, develop and coach Admin Team (~5 direct reports)
- Lead and oversee Admin, Facilities, Housekeeping.
- Asset Management.
- Procurement of IT Peripherals.
- Manage inventory - Conducts regular inventory of the company's properties and fixed assets.
- Maintains office services by organizing office operations and procedures; approving supply requisitions; assigning and monitoring admin functions.
- Monthly procurement of housekeeping and kitchen consumables.
- Manage preventive maintenance responsibly.
- Manage, review and renew all facility and housekeeping contracts in a timely manner.
- Ensure office is orderly, healthy, safe and is conducive to a productive atmosphere.
- Ensure compliance to all safety, regulatory requirements mandated by law.
- Participate, deal and solve any facilities and safety related inquiries, complaints and requests from all stakeholders, making recommendations and taking necessary and appropriate actions.
- Manage all administrative documents (permits, contracts, certificates, visa, etc.)
- In charge on preparation of reportorial requirements for submission to regulatory bodies
**Qualifications**:
- Bachelor's degree in business administration or related field
- At least three (3) years of related experience
- Strong organizational skills to give the team direction
- Very good understanding of office management processes
- Experience with assets and facilities management principles
- Critical thinker and problem-solving skills
- Team player
- Good time-management skills
- Great interpersonal and communication skill
