Role Overview:
The Accounting and Payroll Specialist (open to Senior level, Supervisor or Manager) possesses a strong background in QuickBooks Online, payroll administration, and manages both accounts payable and accounts receivable functions. The Accounting and Payroll Specialist handles various bookkeeping tasks, develops operational reports, and maintains key accounting subledgers. The Specialist ensures the financial integrity of business operations, and focuses on process efficiency, accuracy, and compliance. The Specialist thrives in a fast-paced environment with shifting priorities and is comfortable navigating multiple projects concurrently.
Role Responsibilities:
1. Bookkeeping & QuickBooks Online Management:
Perform daily bookkeeping tasks, ensuring all financial transactions are accurately recorded
Maintain and reconcile accounts using QuickBooks Online, ensuring that the general ledger is kept up-to-date, and all entries are correctly categorized
2. Payroll Administration:
Administer payroll for employees and contractors, including processing commission reports from our call center management
Ensure timely and accurate disbursement of payroll in accordance with company policies and applicable laws
Maintain payroll records and respond to payroll-related inquiries from employees
3. Accounts Payable:
Manage the full cycle of accounts payable utilizing Ramp (a cloud-based software that integrates with QuickBooks)
Review, verify, and process vendor invoices, ensuring timely and accurate payment of expenses
Reconcile account balances and resolve discrepancies with vendors as necessary
4. Accounts Receivable:
Oversee accounts receivable functions, including invoicing clients through QuickBooks and ensuring timely collection of payments
Monitor customer accounts for delayed payments and initiate follow-up actions to ensure collection
Prepare monthly accounts receivable aging reports for management
5. Accounting Subledger Maintenance:
Develop and maintain detailed subledger schedules, including employee and contractor pay, PTO tracking, and loan disbursements under a revolver loan document with one of our partners
Ensure the accuracy of subledgers and reconcile them with the general ledger on a regular basis
Prepare reports related to compensation, loans, and other key financial metrics for internal and external stakeholders
6. Operational and Financial Reporting:
Collaborate with cross-functional teams to develop operational reports by linking data pulled from the CRM with reports from lead generation partners
Track the profitability of campaigns on a granular level, using data analysis to provide insights into financial performance
Continuously improve the reporting process to drive more accurate and actionable financial insights for decision-making
Role Requirements:
Proven experience with QuickBooks Online and cloud-based accounting software (e.g., Ramp)
Strong understanding of payroll administration, particularly with commission-based structures
Familiarity with accounts payable and accounts receivable processes
Experience with maintaining accounting subledgers and producing detailed financial reports
Advanced proficiency in Excel or other data analysis tools
Excellent attention to detail, problem-solving abilities, and commitment to accuracy
Strong communication skills and the ability to work cross-functionally with various departments
Ability to work in a fast-paced environment with shifting priorities
Ability to work well both collaboratively and independently
Experience working in a CRM-driven environment, specifically in developing operational reports is a strong plus
Prior experience in financial analysis or reporting tied to campaign profitability or other marketing/lead-gen initiatives is a strong plus
Familiarity with revolving loan documents and the associated tracking of disbursements is a strong plus
