Duties and Responsibilities:
1. Accurately record financial transactions, including accounts payable (AP), accounts receivable (AR), and general ledger entries.
2. Process vendor invoices, ensure timely payments, and maintain accurate records of purchase orders and expense reports.
3. Perform regular bank reconciliations and assist in reconciling other financial accounts, including credit card statements and vendor accounts.
4. Input financial data into accounting software, ensuring accuracy and completeness in all records.
5. Organize and maintain both digital and physical financial records, including filing invoices, receipts, and other supporting documentation.
6, Process and review bills for payment, verify amounts, approve payment vouchers, and manage payment schedules.
7. Prepare invoices for clients, follow up on outstanding payments, and assist with collections when needed.
8. Record and monitor company expenses, ensuring they are in line with budgetary controls.
9. Assist in generating and preparing financial reports, including profit and loss statements, balance sheets, and cash flow statements, for internal use and audits.
10. Support the accounting team in preparing budgets and forecasts by providing necessary data and updates on expenses and income.
11. Assist in processing payroll, ensuring employee hours, overtime, and deductions are recorded accurately.
12. Verify payroll calculations and assist with resolving any discrepancies.
13. Ensure all financial transactions comply with company policies and relevant financial regulations.
14. Assist with internal and external audits by providing necessary documentation and data related to financial transactions.
15. Provide administrative support to the accounting team, including managing correspondence, answering queries related to invoices and payments, and assisting in other general office duties.
16. Coordinate with other departments to resolve any financial discrepancies or issues.
Qualifications, Skills and Experience:
1. Bachelor's degree in accounting, finance, or a related field is preferred.
2. 1-2 years of experience in a similar accounting support role.
3. Proficiency in accounting software (e.g., QuickBooks, Xero, Sage) and MS Office Suite, particularly Excel.
4. Basic understanding of accounting principles and financial regulations.
5. Strong organizational skills and attention to detail in handling financial records and transactions.
6. High degree of accuracy with numbers and financial calculations.
7. Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
8. Strong verbal and written communication skills for interacting with vendors, clients, and internal teams.
9. Ability to identify and resolve discrepancies in financial records.
10. A collaborative attitude and the ability to work well with others in a small team.
