Penshoppe, a leading fashion retail brand in the Philippines, is looking for a motivated and organized Administrative Assistant to join our dynamic team in Davao City. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring that our retail store runs smoothly and efficiently. You will be the backbone of our administrative functions, working closely with various departments to facilitate communication and enhance productivity.

#### **Key Responsibilities:**

- **Administrative Support:**
- Assist in the daily operations by performing general administrative tasks, including but not limited to drafting correspondence, filing documents, and managing schedules.
- Coordinate meetings, prepare agendas, and take minutes to ensure all action items are recorded and followed up on.

- **Customer Service:**
- Greet visitors and direct them to the appropriate departments, providing a positive first impression of the company.
- Handle customer inquiries via phone, email, and in-person, addressing questions and resolving issues promptly.

- **Data Management:**
- Maintain and update company databases, keeping records up to date with accurate information.
- Generate and analyze reports for management, assisting in tracking sales performance and inventory levels.

- **Office Supply Management:**
- Monitor and manage inventory levels of office supplies, placing orders as necessary to avoid shortages.
- Maintain a clean and organized office environment that is conducive to productivity.

- **Event Coordination:**
- Assist in planning and executing company events, including staff training, team-building activities, and other corporate functions.
- Collaborate with personnel from different departments to ensure that events run smoothly and meet objectives.

- **Communication:**
- Foster effective communication within the team and with external vendors by disseminating information in a timely and clear manner.
- Build positive rapport with co-workers, leveraging emotional intelligence to navigate interpersonal dynamics.

#### **Qualifications & Requirements:**

- **Education:**
- A high school diploma or equivalent is required; a degree in Business Administration or related field is a plus.

- **Experience:**
- This position is entry-level; no prior experience is necessary, but any relevant coursework or internships will be beneficial.

- **Skills:**
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software quickly.
- Strong organizational skills with exceptional attention to detail.
- Capacity to handle multiple tasks simultaneously with a strong focus on deadlines.
